Set Up Email Intake for Documents

You can configure email intake to enable users to send new documents to a designated folder within Contract Management and Document Intelligence. This provides an alternative to direct document upload.
  1. Click
    Admin
    .
  2. Click
    Email Intake
    .
  3. Select
    Copy to Clipboard
    in the
    Email Settings
    section.
    Access and share the email address for document intake. Workday recommends adding the intake email address as a contact in your email inbox.
  4. In the
    Folder Settings
    section, designate a specific folder for all emailed files.
    This setting applies across the organization. Example: Create a folder named Inbound Email Files.
  5. In the
    Permission and Whitelisting
    section, choose whether to allow all users or only specific users to email files.
    To accept files from non-users or emails from other domains, add individual emails and/or email domains to the whitelist. This ensures that emailed documents from those domains are allowed into Workday. For example, if documents will be arriving from external email domains, such as an e-signature provider, add those to your whitelist. Example: Docusign.com
Users can now send documents to the designated folder by emailing them to the provided address. Workday appends _[timestamp] to the end of the file name when ingesting documents to prevent overwriting.
