Setup Considerations: Contract Intelligence
You can use this topic to help make decisions when planning your configuration and use of Workday Contract Intelligence, powered by Evisort AI. It explains:
- Why to set it up.
- How it fits into the rest of Workday.
- Downstream impacts and cross-product interactions.
- Security requirements and business process configurations.
- Questions and limitations to consider before implementation.
Refer to detailed task instructions for full configuration details.
What It Is
Contract Intelligence transforms fragmented documents into a centralized engine of searchable insights, using AI to uncover hidden risks and savings across your entire organization.
Business Benefits
- Enable visibility across all your documents to proactively identify and manage financial, legal, and operational risks.
- Identify and act on key data points such as renewal dates, revenue opportunities and indemnification clauses to drive favorable business outcomes and support compliance.
- Streamline access to documents and data for better collaboration between legal and business teams.
- Automatically synchronize documents and data points across repositories, eliminating time-consuming and error-prone manual reviews.
- Save time by providing self-service access to contract data insights for all teams that need it.
- Convert poor-quality scans into searchable, structured data using the optical character recognition (OCR) technology.
- Use the Ask AI feature to ask questions in simple, natural language and receive clear answers, linked to source documents for immediate verification.
Use Cases
- Synchronize contracts and data points from shared drives, cloud repositories such as Box or SharePoint, and enterprise solutions, such as Salesforce, to maintain a centralized, searchable source of truth for all agreements across the enterprise.
- Leverage AI to automatically analyze contracts for key clauses and obligations. Example: renewals, SLAs, payment terms, data protection, liability caps.
- Configure alerts and reminders so legal, procurement, or business owners are notified well before renewals or key milestones.
- Turn static documents into structured data that can be searched, filtered, dashboarded, or exported to Excel, across tens of thousands of agreements.
- Build dashboards to monitor payment milestone tracking, deliverables, notice periods, upcoming expirations, termination clauses, breach notice requirements, total contract value, clause auditing, etc.
- Translate operational gains into financial terms. Example: hours saved converted to faster deal cycles tied to accelerated revenue recognition, savings from avoided renewals.
- Build custom AI models to track terms specific to your business.
Questions to Consider
Question | Consideration |
|---|---|
Which cloud storage providers do you currently use for contract storage? | You must identify and consolidate your documents before implementation. You can upload documents directly or through supported cloud system integrations for syncing. Contract Intelligence supports cloud systems such as Box, Dropbox, Google Drive, OneDrive, and SharePoint. You need a storage account with 1 of the supported providers to integrate and sync documents. Each provider has specific permission requirements that you should evaluate. See Reference: Storage Provider Requirements |
What document formats do you want Contract Intelligence to analyze? | You can use OCR analysis on these file formats:
You can upload other file formats, but they aren’t subject to OCR analysis. |
Do you plan to leverage AI to capture highly specific or unique contract data? | You can use standard AI fields and clauses to capture common data, but Custom AI enables you to turn your questions into AI models to extract and categorize unique data points across agreements. |
Do you use security on your source documents? | Contract Intelligence can’t process or bypass the security settings of password-protected files. You can establish an ingestion process that requires the removal of document security measures, such as password protection, before you upload files to the platform for AI analysis. |
Do you need to handle non-English documents? | You can use these methods to process non-English documents:
Contract Intelligence doesn't provide an English-translated version of the non-English document. |
How do you want to back up your data? | We host our database on Amazon Web Services. We back up data stored in the customer’s tenant. |
How do you want to protect your data? | Workday Contract Intelligence is SOC 2 Type II certified, conducts regular penetration testing, runs a worldwide bug bounty program, and maintains an up-to-date disaster recovery plan. |
Recommendations
- When training custom AI models for clauses, tag as many known variations of a clause as possible, use full sentences as samples, and train a single model per clause type to improve accuracy.
- For bulk uploads exceeding 100 files in a single transaction, use the self-service sync tool instead of manually uploading to save time and effort. See Set Up Document Synchronization with EviSync.
- Leverage the standard AI models, or build custom AI field models for rapid, structured data that you can visualize, report on, and plug into other systems. For quick insights and answers to day-to-day questions about 1 or many contracts, use Ask AI.
Requirements
- To integrate and sync documents from a cloud system, you need a cloud storage account with 1 of the supported cloud system providers.
- Your identity provider must support SAML 2.0 to configure Single Sign-On.
Limitations
- When you upload attachments to an existing repository record, Workday automatically classifies them as supporting documents. Contract Intelligence doesn’t run AI analysis on these files and excludes them from your billable document count.
- Contract Intelligence is accessible on mobile devices, but it is not yet optimized for them.
- Contract Intelligence can successfully process documents of up to 1,000 pages or 500MB in size.
Tenant Setup
No impact.
Security
Contract Intelligence uses access control, so customers can create and manage access privilege for users, including administrators and read-only users. Administrators can manage individual users' access to specific documents and folders.
Reporting
Report or Dashboard | Description |
|---|---|
Documents | Displays document volume and related metadata. |
Expirations | Displays upcoming expiration dates, renewal types, and notice periods. You can customize the date range and apply additional filters. |
Integrations
Integration | Considerations |
|---|---|
Third-party Storage Solutions | You can use Contract Intelligence to access files stored across several different locations at one time. Contract Intelligence enables you to sync documents and data points from supported cloud storage providers such as Box, Dropbox, Google Drive, OneDrive, and SharePoint. |
Salesforce Connector | You can use Contract Intelligence to transfer documents from Salesforce Sales Cloud to Contract Management and Document Intelligence for AI-powered data extraction. You can then synchronize the extracted information back to Salesforce and create a central hub for managing, searching, and reporting on contract data. |
Connections and Touchpoints
Contract Lifecycle Management (CLM) enables you to create contracts. CLM streamline the pre-signature process by consolidating intake, redlining, reviews, and signature collection steps in one place.
