FAQ: Contract Management and Document Intelligence Platform

How long does an account remain in Deactivated status before deletion?
For audit trail purposes, we hide deactivated user accounts in the Contract Management and Document Intelligence UI, but don’t delete them. When a deactivated user account is still associated with data (such as a workflow ticket), the account remains visible in the UI with an appended
Deactivated
label.
How can I improve Contract Management and Document Intelligence load times when I'm connected to my VPN?
If load times are slow when you're connected to a VPN, we recommend that you disconnect from the VPN and try to reload the Contract Management and Document Intelligence platform. You can continue to do this as a workaround if it speeds up load times.
If you can't disconnect from the VPN, contact your administrator to request that they add your IP address to the allowlist.
Your connection to the Contract Management and Document Intelligence platform is secure, even if you aren't connected to a VPN. This is because the data is encrypted at rest and in transit using AES-256 security.
Does Contract Management and Document Intelligence support two-factor authentication (2FA)?
We currently support 2FA through single sign-on (SSO), so you can set up SSO through Contract Management and Document Intelligence and use 2FA through your identity provider.
Some of our users only handle workflow tickets. Can I restrict what those users see when they navigate the UI?
Yes, the administrator can assign the Workflow User Only role to these users. This role streamlines Contract Management and Document Intelligence by:
  • Removing access to areas that the users don't need.
  • Directing users to the
    Workflow
    >
    Tickets
    console immediately after logging in.
The
Workflow User Only
role enables users to:
  • Submit new tickets.
  • Take action on and view the status of tickets.
  • Send reminders and read or interact with the activity log.
  • Download, view, and upload new versions of documents on tickets.
Workflow administrators may further configure the actions you can take on a ticket depending on each individual workflow. See Concept: Workflow Builder Overview for more information about configuring permissions.
When I'm restricted to a specific folder and use the Contract Management and Document Intelligence search function, do the search results show only items from that folder?
In the search results, you only see documents that you have permission to view based on their folder location. See Set Up Users for more information.
How long does a session last before timing out?
Your administrator configures settings in

to determine:
  • The length of time a user must be inactive before their session times out.
  • How often users must log in to the Contract Management and Document Intelligence platform.
The
Idle Session Timeout
value is automatically set to 1 hour, and the
Reauthentication Frequency
is 24 hours.
The link in my signup email expired. How do I get a new one?
When the link in your signup email expires, contact your administrator to request a new link. The link stays active for 1 week.
Why am I unable to update my password though it meets the requirements?
A password must meet these minimum security requirements:
  • Length: At least 15 characters long.
  • Characters: Must include at least 1 uppercase letter, 1 lowercase letter, 1 number (0-9), and 1 of these special chracters: @ * _ - . ! & ‘
  • Exclusions: It can't contain any other special characters, be the same as your user ID, or include 3 consecutive alphanumeric characters. Example: 123.
Why am I automatically signed out of the Contract Management and Document Intelligence platform?
For security reasons, Contract Management and Document Intelligence sessions time out when a user is inactive for a certain length of time. This helps to secure sensitive data and ensures that only authorized users can access it by reentering their password.
Why can't I access certain folders?
Administrators determine which folders your account can access. You can request access to a specific folder by contacting your account administrator. See Set Up Users for more information. For further assistance, contact Workday Support.
