Steps: View Student Reporting Record History

Steps: View Student Reporting Record History

Grant users
View
access to the
Student Data: Reporting Records
domain in the Student Records functional area. Users must also have academic record access for the students they view, such as through academic unit roles, cohort security, or one-off academic record access.
You can view how a student's reporting record has changed over time without modify access to change the reporting record. Use the
View Reporting Record Changes
task to review past, current, and future-dated reporting record assignments for a student at an institution.
A reporting record establishes which academic record Workday uses for downstream processing and reporting when a student has multiple academic records. See Concept: Reporting Record.
To change a student's reporting record, use the
Change Student Reporting Record
task. See Concept: Reporting Record.
  1. Access the
    View Reporting Record Changes
    task.
  2. As you complete the task, consider:
    Option
    Description
    Student
Select the student whose reporting record history you want to view. You can only select students you have academic record access to.
    Institution
    (Required)
Select the institutional academic unit for the student.
Workday auto-populates Institution and you can't edit it when:
    • You have access to only one institution.
    • The selected student has academic records at only 1 institution.
    • Your tenant is a single-institution tenant.
In multi-institution tenants, if you clear
    Student
    , Workday clears
    Institution.
In single-institution tenants, Workday retains the institution value when you clear
    Student.
  3. Select
    OK
    .
Workday displays a historical grid of reporting record changes for the student at the selected institution.
Use the historical grid to:
  • Compare which academic record was the reporting record on different effective dates.
  • Identify future-dated reporting record changes.
  • Drill into
    Active Programs
to review program of study records associated with each academic record.
If a student has multiple academic records and you have access to only some of them:
  • Workday displays all academic records in the grid so you can view reporting record context.
  • For academic records you have access to, Workday displays hyperlinks and enables related actions.
  • For academic records you don't have access to, Workday displays text only and doesn't enable related actions.
  • Program of study records on academic records you can access are fully available. Program of study records on academic records you can't access are visible but greyed out, with no related actions.
If configured with domain access, student workers can run this task for themselves to view their own reporting record history.
Review the historical grid to track reporting record changes over time. Workday displays one row per effective date. Rows are sorted chronologically and include past, current, and future-dated reporting record assignments.
