Concept: Reporting Record
When students have multiple academic records, the reporting record establishes primacy for processing and reporting. A student can have only 1 academic record as their reporting record within an institutional academic unit at any time. Workday uses the reporting record for all downstream processing and reporting. Examples: National Student Clearinghouse (NSC) reporting, financial aid attendance plans, and ISIRs.
Workday sets the first matriculating record as the reporting record for the student within an institution.
Change the Reporting Record for a Student
You can change the reporting record for a student.
- Configure theChange Student Reporting Record Eventbusiness process and security policy in the Student Records functional area.
- Select from the related actions menu of a student.
You can use the grid to view and change the history of the reporting record. The
Effective Date
is the financial aid record snapshot date.Automatic Reporting Record Change
Workday automatically updates a student’s reporting record to an active record when it’s past the maximum expected completion date (ECD) on the existing reporting record.
Reporting records automatically update through these tasks to change a record’s exceeded maximum expected completion date (ECD) to be earlier:
- Change Expected Completion Date
- Completion Application
- Change Program of Study
When a new academic record is matriculated and the expected completion date (ECD) on the existing academic record has passed, the reporting record automatically updates to the new active academic record.
