Evaluate and Manage Transfer Credits

You can use the
Transfer Credit
report on the Academics profile group of the student profile to view the transfer credit granted. This report includes transfer credit granted at matriculation from external transcripts and test results recorded on the prospective student profile.
For external transcripts and test results received after you matriculate a student, you can grant transfer credit by:
  • Initiating automatic transfer credit evaluations. Workday uses the transfer credit rules that you set up to grant transfer credit.
  • Assigning transfer credits manually.
You can only:
  • Grant and assign transfer credit from official transcripts and test results.
  • Initiate transfer credit evaluations for students who are active.
You can use the
Assign Student Transfer Credit
task to assign transfer credit to:
  • Inactive students, when the inactive academic record has existing transfer credit.
  • Students with multiple active academic records, to indicate which record you want to grant the transfer credit towards.
    Access 1 or more of these tasks to evaluate transfer credits:
  1. Initiate a transfer credit evaluation for an individual student’s most recent external transcript or education test result.
    1. Access the
      External Records
      report on the Academics profile group of the student profile.
    2. From the related actions menu of the transcript or test result, select either:
      • Student External Transcript
        Initiate Transfer Credit Evaluation
        .
      • Test Result
        Initiate Transfer Credit Evaluation
        .
    3. Click
      OK
      .
      Workday displays a summary page with the results of the transfer credit evaluation.
    4. To manually edit the transfer credit, click
      Assign Student Transfer Credit
      .
    5. For external courses and education test sections with no transfer credit results, click
      Transfer Credit Troubleshooting
      to view details of why transfer credit isn’t granted.
    6. For coursework that doesn’t have applicable transfer credit rules and doesn’t receive transfer credit, click
      Create Rules and Evaluate
      to:
      • Create new transfer credit rules.
      • Initiate another transfer credit evaluation using the new rules.
    7. Click
      OK
      and
      Done
      .
  2. Initiate transfer credit evaluations for multiple external transcripts, education test results, or students.
    1. Access the
      Launch Mass Transfer Credit Evaluation
      task.
    2. From the
      Institution
      prompt, select the institution.
    3. In the
      Process Criteria
      section, select the external records that you want to evaluate, either
      External Transcripts
      or
      Education Tests
      , or both.
    4. In the
      Evaluation Criteria
      section, select the group of external records that you want to evaluate.
      Option
      Description
      External Transcripts/Education Tests
      Evaluate transfer credit by transcripts and test results.
      Specify the criteria for the external records that you want to evaluate. Workday evaluates external records that meet all evaluation criteria. When you select multiple criteria in a single prompt, Workday evaluates external records that meet any of the criteria.
      Example: When you specify external transcripts received between 01/01/2020 and 12/31/2021, and the ACT and SAT education tests, Workday evaluates transfer credit for the external transcripts received in 2020 and 2021, and any ACT and SAT education test results.
      Students
      Evaluate transfer credit for multiple students.
      In the
      Students
      prompt, select the students who you want to evaluate transfer credit for.
    5. Click
      OK
      .
    6. To view the evaluation results, access your
      Notifications
      page and click
      View Details
      on the notification.
      Workday displays the number of transcripts and test results with successful and unsuccessful evaluations. For a more detailed analysis of transfer credits not granted, access the
      Student Transfer Credit Troubleshooting Console
      for individual students.
    7. Click
      Done
      .
  3. Assign and manage transfer credits manually for an individual student’s external transcript or test result.
    Example: After you initiate a transfer credit evaluation, the student has additional courses that you don't have transfer credit rules for. You can manually assign transfer credit for those courses.
    1. Access the
      Assign Student Transfer Credit
      task.
    2. From the
      Student
      prompt, select the student who you want to manage transfer credit for.
    3. Select an option in the
      External Records
      section.
      When you select:
      • Official External Transcript
        , the prompt displays the student’s official transcript with the most recent issued date.
      • Create Official External Transcript
        , you can manually enter a new transcript for the student. See Add External Transcripts.
      • Official External Education Test Results
        , you can manage transfer credit for any of the student’s test results.
    4. Click
      OK
      .
    5. Complete the task:
      Option
      Description
      External Records
      Workday displays the external courses and test section results with transfer credit already granted.
      For transcripts with no transfer credit, Workday populates the external courses from the course history on the transcript.
      You can:
      • Add rows to assign transfer credit to the student’s remaining external courses and test section results.
      • Select multiple courses or test section results in a single row.
      Internal Equivalent
      Specify the equivalent:
      • Courses from the course catalog for your institution.
      • Grades from your student grading schemes.
      • Number of units to grant for the transfer credit. Workday populates the
        Units
        field with the units value from the
        Course
        you select.
      Lock Credit
      Select to prevent the transfer credit from being overridden by future transfer credit evaluations.
      To lock all transfer credits, select
      Lock All Credits
      .
    6. Click
      OK
      and
      Done
      .
On the Academics profile group of the student profile, Workday:
  • Displays the transfer credit on the
    Academic History
    and
    Transfer Credit
    reports.
  • Updates the academic requirements for the student on the
    Academic Progress
    report.
When a transfer credit evaluation is initiated on a student’s external transcript, Workday updates the
Transfer Credit Evaluation Details
section on the external transcript with the date and initiating user of the evaluation.
You can manage transfer credits granted from the student’s transcripts and education test results on the student profile. On the
Transfer Credit
report on the Academics profile group:
  • To edit an individual transfer credit registration, select
    Actions
    Edit
    on the transfer credit.
  • To assign new transfer credits and manage existing transfer credits, click
    Assign
    .
  • To delete all unlocked transfer credits from an educational institution or exam, click
    Delete All
    .
To grant transfer credit for additional attempts of a course in a single transcript, assign the transfer credit manually.
Users with access to the
Manage: Student Transfer Credit
domain can use the
Student Transfer Credit Troubleshooting Console
report to:
  • Troubleshoot issues with granting transfer credits.
  • Examine potential and assigned transfer credits.
This report considers the transfer credits from a student’s transcript or test result for the academic record that has either:
  • The earliest active academic record start date.
  • Existing transfer credits assigned.
When the transfer credits for a student’s external transcript are evaluated and confirmed, you can select
Student External Transcript
Mark Transfer Credit Evaluation Complete
from the related actions menu of the transcript (secured to the
Manage: Student External Transcripts
domain). Workday updates fields on the external transcript to indicate that the transfer credit evaluation is complete.
