Steps: Evaluate and Manage Transfer Credits
- Set up transfer credit evaluations. See Steps: Set Up Transfer Credit Evaluation.
- Add External Transcripts or Add Education Test Results. Add at least 1 official external transcript or test result for students.

You can use the
Transfer Credit
report on the Academics profile group of the student profile to view the transfer credit granted. This report includes transfer credit granted at matriculation from external transcripts and test results recorded on the prospective student profile.For external transcripts and test results received after you matriculate a student, you can grant transfer credit by:
- Initiating automatic transfer credit evaluations. Workday uses the transfer credit rules that you set up to grant transfer credit.
- Assigning transfer credits manually.
You can only:
- Grant and assign transfer credit from official transcripts and test results.
- Initiate transfer credit evaluations for students who are active.
You can use the
Assign Student Transfer Credit
task to assign transfer credit to:
- Inactive students, when the inactive academic record has existing transfer credit.
- Students with multiple active academic records, to indicate which record you want to grant the transfer credit towards.
- Access 1 or more of these tasks to initiate a transfer credit evaluation:TaskDescriptionInitiate Transfer Credit EvaluationInitiate a transfer credit evaluation of an individual student’s:
- Most recent external transcript.
- Education test result.
You can access this task from theExternal Recordsreport on the Academics profile group of the student profile. From the related actions menu of the transcript or test result, select:- .

For external courses and education test sections with no transfer credit results, clickTransfer Credit Troubleshootingfor more details of why transfer credit isn’t granted.For coursework that doesn’t have applicable transfer credit rules and doesn’t receive transfer credit, clickCreate Rules and Evaluateon the summary page to:- Create new transfer credit rules.
- Initiate another transfer credit evaluation using the new rules.
Launch Mass Transfer Credit EvaluationInitiate transfer credit evaluations for multiple:- External transcripts.
- Education test results.
- Students.
For external transcripts and education tests, specify the criteria for the external records that you want to evaluate. Workday evaluates external records that meet all evaluation criteria. When you select multiple criteria in a single prompt, Workday evaluates external records that meet any of the criteria. - Access theAssign Student Transfer Credittask to assign transfer credits manually.Example: After you initiate a transfer credit evaluation, the student has additional courses that you don't have transfer credit rules for. You can run this task to assign transfer credit for those courses.Complete the task:

Lock CreditSelect to prevent the transfer credit from being overridden by future transfer credit evaluations.
On the Academics profile group of the student profile, Workday:
- Displays the transfer credit on theAcademic HistoryandTransfer Creditreports.
- Updates the academic requirements for the student on theAcademic Progressreport.
You can manage transfer credits granted from the student’s transcripts and education test results on the student profile. On the
Transfer Credit
report on the Academics profile group:
- To edit an individual transfer credit registration, select on the transfer credit.
- To assign new transfer credits and manage existing transfer credits, clickAssign.
- To delete all unlocked transfer credits from an educational institution or exam, clickDelete All.
To grant transfer credit for additional attempts of a course in a single transcript, assign the transfer credit manually.
Users with access to the
Manage: Student Transfer Credit
domain can use the Student Transfer Credit Troubleshooting Console
report to:
- Troubleshoot issues with granting transfer credits.
- Examine potential and assigned transfer credits.
This report considers the transfer credits from a student’s transcript or test result for the academic record that has either:
- The earliest active academic record start date.
- Existing transfer credits assigned.
