Concept: Due Amounts

Workday calculates and displays different due amounts on reports to help various audiences understand balances and financial account activity:
  • Due Now
  • Current Due
  • Future Due
  • Past Due
  • Total Account Balance
Administrators can view the amounts on the reports on the
Student Financials
profile group on student profiles.
Students can view the amounts in reports and worklets, including the
Due Now Details
report that displays:
  • On the
    Student Financials
    profile group of their student profile.
  • As a tab on the
    View Account Activity
    report.
For students, future due amounts are only visible on the
Outstanding Charges
worklet on the
Finances
dashboard.

Current Due Window

Workday considers a charge current due when the due date is today or within the current due window of the institution. Unless otherwise configured, Workday uses a current due window of 30 days. You can define the current due window of your institution on the
Maintain Current Due Window Configuration
task.
Charges with due dates that occur after the current due window are future due, and charges with due dates in the past are past due.

Current Due Amounts for Administrators and Students

The current due amount can be different for administrators and students based on calculations.

The current due amount for students doesn't take anticipated financial aid payments into consideration. The
Due Now Details
report displays pending aid amounts alongside current due charge amounts. To prevent confusion on the report, Workday excludes anticipated aid from current due amounts.
When your institution uses pending charges, Workday includes current due amounts for students so they can estimate their costs immediately after registering for courses. Workday excludes pending charges from current due amounts, for administrators so they can refresh student accounts before reviewing or troubleshooting student accounts.

Anticipated Financial Aid Payments

Workday subtracts eligible anticipated financial aid awards from unpaid charges and installments when the awards are:
  • In the academic period of the anticipated financial aid.
  • Eligible for subtraction when they meet the anticipated payment display rule of the associated student award item.
Workday doesn't subtract anticipated financial aid payments from the total account balance. The total account balance only includes financial aid payments after they post to student accounts.

Only 100 of the 500 in anticipated aid for Fall 2020 counts toward past due charges. Workday subtracts the 400 remainder from current due Fall 2020. When there's any anticipated aid left after paying the current due amount, Workday applies the balance to future due charges for Fall 2020.
