Example: Configure Business Processes to Evaluate Student Residency

This example illustrates how to configure business processes to evaluate student residency.
Alma Mater University (AMU) offers different tuition rates for in-state residents. To expedite the onboarding process, AMU decides to evaluate residency statuses for applicants using their responses to their residency questionnaire.
Create:
  • A residency questionnaire named
    Student Residency Questionnaire
    .
  • A residency calculation mapping named
    Student Residency Calc Mapping
     designed around the score values assigned in the
    Student Residency Questionnaire
    .
Security:
  • Manage: Student Residency
     in the Student Core functional area.
  • Self Service: Student Residency
     in the Student Core functional area.
  • Student Data: Residency
     in the Student Core functional area.
  1. Configure the
    Student Residency Event
     business process to send out the residency questionnaire to students and prospects and evaluate their residency statuses based on their responses.
    1. Select
      Business Process
      Edit Definition
       from the related actions menu on the
      Student Residency Event
       business process.
    2. Select a date before applications become available to applicants in the
      Effective Date
       prompt.
    3. Click
      OK
      .
    4. Add these rows to the grid on the
      Business Process Steps
       tab:
      Order
      Type
      Specify
      Group
      b
      Complete Questionnaire
      Student as Self
      Student Prospect as Self (External)
      c
      Service
      Evaluate Student Residency
    5. Click
      OK
      .
    6. Click
      Configure Questionnaire
       on the
      Complete Questionnaire
       step.
    7. Select a date before applications become available to applicants in the
      Effective Date
       prompt.
    8. Click
      OK
      .
    9. Select
      Student Residency Questionnaire
       in the
      Questionnaire
       prompt.
    10. Click
      OK
       and
      Done
      .
    11. Click
      Configure Evaluate Student Residency
       on the
      Evaluate Student Residency
       step.
    12. Select a date before applications become available to applicants in the
      Effective Date
       prompt.
    13. Click
      OK
      .
    14. Select
      Student Residency Mapping
       in the
      Residency Calculation Mapping
       prompt.
    15. Select
      Total Questionnaire Score
       in the
      Calculation
       prompt.
    16. Click
      OK
       and
      Done
      .
  2. Configure the
    Student Application Create Event
     business process to initiate a residency review when applicants submit their applications.
    1. Select
      Business Process
      Edit Definition
       from the related actions menu on the
      Student Application Create Event
       business process.
    2. Click
      OK
      .
    3. Add this row to the grid on the
      Business Process Steps
       tab:
      Order
      Type
      Specify
      d
      Service
      Initiate Review of Student Residency
    4. Click
      OK
       and
      Done
      .
Begin collecting residency information from applicants by enabling applicants on the student external site to submit residency questionnaires.
