Set Up Multiple Students for Third Parties

Security: Configure the
Third Party Permissions Event
 business process and security policy in the Student Core functional area.
You can enable a third party to manage multiple students in an institution under 1 Workday sign-in. The
Approve Friends and Family Linking
 step on the
Third Party Permissions Event
 enables you to link new third parties to existing accounts if the emails match.
Allie has third-party permissions for Josh and Amy, both students at Alma Mater University. When Josh grants access to Allie, she receives an email with login details to a unique Workday account. Later, Amy also grants access to Allie. In the
Third Party Permissions Event
 business process, Workday finds a match on Allie's email. Allie logs into Workday and has a Manage Permissions task available. She approves this task and can now use 1 set of login credentials to manage tasks on behalf of Josh and Amy.
  1. Select
    Business Process
    Edit Definition
     on the
    Third Party Permissions Event
     business process.
    See Edit Business Processes.
  2. Configure the
    Approve Friends and Family Linking
    Action
     step.
    Ensure that you configure:
    • The action step after the initiation step.
    • Access for the security group
      Student Proxy as Self
      for the action step.
    • The
      Configure Create Student Proxy Workday Account
      Service
       step after this action step.
    The step order ensures Workday links designated third parties managing more than 1 student instead of creating separate accounts.
  3. Activate Pending Security Policy Changes.
Workday sends a task in My Tasks to the Third Party for approval. If the Third Party approves, Workday automatically links the account to an existing account if the emails match.
Designated third-parties can use 1 login and manage the tasks for all of the students linked to them, instead of maintaining a set of login credentials for each individual student.
