Steps: Set Up Worksheets for Applicant Scores and Application GPAs

You can calculate applicant scores and application GPAs using Worksheets. Worksheets enable you to build formulas and don't require you to configure calculations in the Calculations framework or calculation policies.
For optimal performance, Workday recommends limiting Worksheets to 2000 rows. To calculate applicant scores for higher volumes of applications, consider using mass operations instead.
  1. Create custom reports or enable existing reports for use in Worksheets. Select:
    • Student Applications
      as the
      Data Source
      .
    • All Student Applications
      as the
      Data Source Filter
      .
    On the
    Filter on Instances
    grid of the
    Filter
    tab, select:
    • The
      Application Grouping
      option on the
      Field
      prompt.
    • A
      Comparison Value
      that is equivalent to the application grouping that will be used on the Worksheet.
  2. Add live data or upload data from external sources to the worksheet.
    Ensure that your data aligns with the correct student applications before doing any data analysis. Workday recommends that you sort the Worksheet in the same order as your custom report.
  3. Manually update student applications with applicant scores and application GPAs.
    • Select
      Applicant Score Worksheet
      Update Applications from Worksheet
      from the
      Actions
      button on the worksheet.
      Workday automatically replaces any existing applicant scores or application GPAs on student applications with new values from the worksheet.
      Security:
      Manage: Student Worksheets
      domain in the Admissions functional area.
    • Alternatively, you can update student applications by selecting
      Mass Assign Applicant Score or GPA
      on these reports:
      • Find Student Applications
      • Find Student Prospects
      Security:
      Manage: Admissions
      domain in the Admissions functional area.
  4. Manually update your worksheet with new data.
    Select
    Applicant Score Worksheet
    Update Entry Area
    from the
    Actions
    button on the worksheet.
    Apply your formulas and calculations to any new rows added to the worksheet.
  5. Calculate applicant scores or application GPAs by creating formulas and functions using the data you've added to the worksheet.
