Override Academic Requirements for Student

When necessary, you can override academic requirements, including configured Academic Progress Limits. Manually overriding requirements makes it easier to accommodate special circumstances to help ensure student success.
  1. Access the
    Override Academic Requirement for Student
    task.
  2. From the
    Override Type
    prompt, select 1:
    Override Type
    Description
    Add Course
    Add a course that isn’t typically an acceptable course to satisfy the requirement. Don’t add a course that’s already included in an eligibility rule for the requirement.
    Adjust Units
    Change the number of units required for the student to satisfy the requirement.
    Adjust Course Count
    Change the number of courses required for the student to satisfy the requirement.
    Assign Course to Requirement
    Assign an in-progress or completed registration to satisfy an academic requirement when:
    • The course isn't typically an acceptable course for the requirement.
    • The grade doesn't meet the minimum defined for the academic requirement.
    When you select this override type with a
    Unit Requirement
    type eligibility rule, you can split the course units between multiple academic requirements. You can select registrations from the
    Assign Registrations to Apply
    prompt and enter the units for each registration in the
    Units Assigned
    field.
    When the course requirement has a grade modifier, the
    Ignore Grade
    check box is available. To ensure that all registrations are displaying in the prompt and to bypass the minimum grade requirement, select this check box.
    For academic requirements that use a Combination type eligibility rule, you can select a specific eligibility rule within the Combination rule to assign a course registration.
    Workday enables you to assign multiple overrides of this type on an academic requirement. The course remains assigned to the academic requirement until you remove the override.
    Exclude Registration from Requirement
    Exclude a registration from applying to a student's academic requirement. Example: Exclude course repeats or transfer registrations.
    Unlike the
    Substitute Course
    override, with this override, Workday doesn’t require another registration to substitute for the excluded registration to achieve program completion on the student's
    Academic Progress
    report.
    You can use this override for course requirements, unit requirements, and grade averages. You can also use this override for combination rules that have nested course requirements and unit requirements.
    Workday doesn't support this override type for grade requirements without courses defined.
    Recommendation: If a non-live registration is assigned to a requirement already satisfied, you can perform a second override to exclude a live registration to prevent duplicate satisfaction.
    Substitute Course
    • Remove a course defined as acceptable for the academic requirement. To satisfy the requirement, specify the course as
      Not Required
      .
    • Substitute a course defined as acceptable for the academic requirement. To satisfy the requirement, specify an alternative course or set of courses.
    Workday enables you to assign multiple overrides of this type on an academic requirement.
    When you use a
    Substitute Course
    type academic requirement override, Workday evaluates the alternate course set before the required course in satisfying the academic requirement.
    Waive Requirement
    Waive a specific academic requirement. If you waive a requirement or a waive override is pending, the related action
    Academic Requirement
    Create Override
    is no longer available for the requirement.
    Workday enables you to waive certain academic requirements for a student, such as a course requirement or unit requirement.
    You can also waive an accomplishment-based academic requirement for a student. The waive override type is the only override available for requirements that contain accomplishment eligibility rules.
    Workday also enables you to waive the academic requirement for an activity, like
    Study
    Abroad
    . You can only waive academic requirements for activities that use activity eligibility rules. The waive override type is the only override available for requirements that contain activity eligibility rules.
  3. Click
    Submit
    .
Workday:
  • Initiates the
    Academic Requirement Override Event
    business process.
  • Routes the override for approval, if configured.
  • When approved, displays an
    Override Assigned
    status next to the academic requirement on the student's
    Academic Progress
    report.
  • To change or remove an override, click the academic requirement on the
    Academic Progress
    report, then click:
    • Edit Override
      .
    • Remove Override
      .
  • To view the override history, create a custom report using the
    Requirement Override
    report data source.
  • To view all the overrides related to academic progress evaluations, including total academic requirements and individual academic requirement assignments, create a custom report using the
    Requirement Assignment Overrides
    report data source.
