Override Total Academic Requirements for Student

  • Set Up Academic Requirement Configurations. Configure academic requirements for students.
  • Configure the
    Academic Requirement Override Event
    business process and security policy. Configure the appropriate security groups for these initiating actions:
    • Override Total Academic Requirement for Student
    • Edit Total Academic Requirement Override for Student
    • Edit Total Academic Requirement Override for Student
      related action.
    • Submit Total Academic Requirement Override (Web Service)
  • Security:
    Manage: Academic Requirements Overrides
    domain in the Academic Advising functional area.
A student's Total Academic Requirement (TAR) displays in the
Overall Academic Progress
grid on the student's
Academic Progress
report.
Workday enables you to manage exceptions on how courses apply or not to a student's overall academic progress. When necessary, you can override total academic requirements, including configured Academic Progress Limits.
To override total academic requirements for a student, you can:
  • Exclude or assign registrations from any eligibility rule that comprises a student's TAR.
  • Adjust the total defined units and eligibility rule unit requirements configured for the student.
Example:
  • A student receives Transfer Credit Units from a course. The student completes the same course internally with a higher grade. You only want 1 instance of the course to apply. You use the Exclude Registration override to remove the course that the student received transfer credit for. Registrations that you exclude from the TAR eligibility rule assignment don't display for the student's TAR on the student's academic progress report.
  • A student is majoring in Economics, which requires a TAR of 120 units. The student is only 2 credits short for meeting the overall units and has completed all other program requirements, so you want to manually adjust the total units to enable program completion.
You configure TAR overrides independently from overrides for individual academic requirements. You can configure the appropriate security groups specifically for the TAR overrides initiating actions in the
Academic Requirement Override Event
business process security policy.
You can assign or remove registrations from satisfying TAR whether or not the registrations are satisfying academic requirements. You can only exclude registrations that already apply in TAR, if not in use for any academic requirements (when the
Only Use Registrations that Contribute to Academic Requirements
option is unchecked).
You can view all the TAR overrides that apply to a student from the related actions in the
Overall Academic Process
grid. The
Overrides
tab on the
View Total Academic Requirement Assignment
report displays all TAR overrides, the status of those overrides, and other information.
  1. Access the
    Override Total Academic Requirement for Student
    task.
  2. From the
    Student
    prompt, select the student that you want to apply the override for.
  3. From the
    Override Type
    prompt, select an option and click
    OK
    .
  4. Complete the task:
    Option
    Description
    Adjust Units
    To adjust the overall unit value or the units for the associated eligibility rules, or both:
    1. Enter a new value for
      Adjusted Total Units Defined
      to update the total units required.
      If you aren't making any adjustments for the total units defined, enter
      0
      . Workday doesn't process an adjusted unit value of
      0
      .
    2. (Optional) Add a row in the
      Eligibility Rules
      grid. Select an eligibility rule. Enter a new value for
      Adjusted Units Required
      .
    3. (Optional) Add a new row and adjust the unit value for another associated eligibility rule.
    Upon submission, Workday alerts you if the sum of the adjusted total units and units required for the eligibility rules aren’t equal to the
    Total Units Required
    . You can proceed with your configuration if your updates are intentional.
    Assign Registration
    To assign registrations:
    1. From the
      Eligibility Rule
      prompt, select the applicable eligibility rule.
    2. From the
      Course Registrations to Assign
      prompt, select the registration to assign. Workday displays all the registrations that apply to the selected rule that are in-progress or completed courses, or unused registrations
      You can only select 1 registration per row for each eligibility rule. To assign another registration from the same eligibility rule, add another row.
    3. Update or leave the same value for
      Units Assigned
      .
    4. Clear or select the
      Ignore Grade
      check box. The option is available when the registration uses an eligibility rule type of grade requirement. When you clear the check box for a registration that uses an eligibility rule for grade requirement, the assignment ignores the grade requirement.
    Exclude Registration
    To exclude registrations:
    1. From the
      Eligibility Rule
      prompt, select the applicable eligibility rule.
    2. From the
      Course Registrations to Exclude
      prompt, select the registrations to exclude from the eligibility rule. Workday displays all the registrations that are applying to the selected rule that are in progress or completed courses.
    3. (Optional) Add another row to select another eligibility rule and the registrations to exclude.
  5. Click
    Submit
    .
Workday:
  • Initiates the
    Academic Requirement Override Event
    business process.
  • Routes the override for approval, if configured.
  • Displays the override on the student's
    Overall Academic Progress
    report.
    • Select the related action in the grid to view the
      Total Academic Requirement Assignment
      preview that displays the
      Overrides
      tab, including the type and status of the override.
    • Click the magnifying glass in the grid to view more information on the
      View Total Academic Requirement Assignment
      report.
To edit or rescind a TAR override, either:
  • Click
    Edit Override
    or
    Remove Override
    on the
    View Total Academic Requirement Assignment
    report.
  • Select
    Total Academic Requirement
    Edit Override
    from the related actions menu of the requirement in the
    Overall Academic Progress
    grid on a student's academic progress report.
Refresh Financial Aid Attendance Plans. Manually refresh attendance plans to see how the overrides affect a student's financial aid. If there are any load status updates, you also need to manually refresh cost of attendance, merit, and need packages.
You can create custom reports using the
Requirement Assignment Overrides
report data source (secured to the
Reports: Academic Requirements
domain) for all overrides related to academic progress evaluations, including overrides related to total academic requirements and individual academic requirement assignments.
You can create custom reports on the line that excludes or assigns the assignment override and on the assignment override for the requirement itself. Use these report fields on the Requirement Assignment Override business object (secured to the
Public Reporting Items
domain):
  • Adjusted Total Units Defined for Total Academic Requirement Adjust Units Override
  • Requirement Assignment Override
  • Total Academic Requirement Assignment Assign Registration Line
  • Total Academic Requirement Assignment Exclude Registration Line
  • Total Academic Requirement Override Adjust Units Eligibility Rule Line
You can create additional custom reports for all overrides on the Requirement Assignment Override business object using these report fields:

  • Override Status
