Override Academic Requirements Effective Dates

Workday evaluates the effective academic requirements for students based on the academic requirements effective dates policy, which can define the effective date as either the:
  • Student’s matriculation date, which is the standard start date of the first academic period that the student is enrolled on their academic record.
  • Declare date for the student’s program of study.
You can apply overrides for individual students to use a different effective date.
Example: The academic requirements effective dates policy at Alma Mater University specifies that academic requirements are evaluated based on the matriculation date. A student has a matriculation date of 8/1/2024, and declares a major on 1/10/2025. By default, Workday evaluates the student’s requirements that are effective on 8/1/2024. You can configure an override to evaluate the student’s requirements that are effective on 1/10/2025 instead.
The academic requirements effective dates policy also specifies the effective dates for requirements at different configuration nodes. Example: Academic unit and level, program area, or program of study. You can apply overrides for specific configuration nodes when you want to use a different effective date for a student.
  1. From the related actions menu of the student profile, select
    Advising
    Override Academic Requirements Effective Dates for Student
    .
  2. From the
    Program of Study
    prompt, select from the student’s active programs of study.
  3. Complete the
    Override Requirement Effective Dates
    grid:
    Option Description
    Configured For
    Specify the configuration nodes at which you want to override the requirements effective date.
    You can add rows to specify different dates for different configuration nodes.
    Requirements Effective Date
    Select the date type that you want to apply for the student:
    • Matriculation Date
      : The standard start date of the first academic period that the student is enrolled on their academic record.
    • Program of Study Effective Date
      : The declare date for the student’s program of study.
    • Custom Effective Date
      : This date must be on or after the student’s academic record start date.
    Workday displays the:
    • Current Program of Study
      grid with the applicable dates for the student.
    • Current Requirement Effective Dates
      grid with the effective dates that Workday currently uses for the specified academic requirements.
  4. Click
    Submit
    .
Workday:
  • Initiates the
    Override Academic Requirements Effective Dates for Student Event
    business process.
  • Routes the override for approval, if configured.
When the business process completes, Workday updates these fields on the
Academic Progress
report on the student profile:
  • Requirements Effective
    displays the overridden academic requirement effective date for the relevant configuration node.
  • Last Evaluated
    displays the date and time of the most recently approved request.
The override is linked to the student’s program of study. When the student changes their program of study, Workday determines their requirements effective dates based on the academic requirements effective dates policy for the new program of study, and the override no longer applies.
