Set Up Academic Requirements Evaluation Display Policies

domain in the Academic Advising functional area.
You can configure the academic requirements evaluation display policy to define how administrators and students can evaluate their hypothetical academic progress for current and new programs of study.
On the policy, you can specify the default value and which options display on the
Requirements Effective Date
prompt on these tasks:
  • For administrators,
    Evaluate Academic Requirements for Student
    .
  • For students,
    Evaluate Academic Requirements
    .
To determine which academic requirements are effective for the hypothetical evaluation, Workday uses the:
  • Requirements effective date specified in the evaluation task, for requirements configured for the program of study.
  • Effective date from the academic requirements effective dates policy, for requirements inherited from the academic unit or program area.
You can use the academic requirements evaluation display policy to configure the evaluation tasks so that administrators and students can select from only certain effective date options. Example: You might want to hide the
Program of Study Configuration Date
option from the student self-service task.
When you don’t configure an academic requirements evaluation display policy, Workday evaluates academic requirements for:
  • Current programs of study based on the requirements effective date of the current academic requirement configuration of the program of study.
  • New programs of study based on the current date.
  1. Access the
    Configure Evaluate Academic Requirements Display Policy
    task.
  2. Select whether to configure the policy for an academic unit and level or a program of study.
  3. Select either:
    • Inherit from Superior Academic Unit
      . If the policy is already inheriting from the superior academic unit, the selection defaults to the option to create a new policy or edit the existing policy.
    • Create New Policy or Edit Existing Policy
      . If the subordinate academic unit is already inheriting its policy from the superior academic unit, you can edit the existing policy or create a new policy if one doesn't exist, as of the effective date you specify. To restore inheritance, edit the subordinate policy so that it has the same configured options as the superior policy. Then select the option to inherit from the superior academic unit.
  4. Click
    OK

  5. In the
    Show for Student Self Service
    and
    Show for Administrators
    sections, select the dates that students or administrators can select from when evaluating academic requirements:
    Option Description
    Current Date
    Today’s date.
    Current Requirements Effective Date
    The requirements effective date for the student’s current primary program of study, as defined by the academic requirements effective date policy. See Set Up Academic Requirements Effective Dates Policies.
    Matriculation Date
    The standard start date of the first academic period that the student is enrolled on their academic record.
    Program of Study Configuration Date
    The effective date of the academic requirement configuration for the program of study. See Set Up Academic Requirement Configurations.
    When a program of study has multiple configurations, the administrator or student can select the effective date of the desired configuration.
    Calendar Prompt
    Students or administrators can select a custom date.
    Example:
    • To enable students to evaluate only programs of study by matriculation date and current date, select
      Matriculation Date
      and
      Current Date
      for
      Show for Student Self Service
      . Clear the other options.
    • To provide more flexibility for administrators, select all the date options for
      Show for Administrators
      .
  6. In the
    Defaults for Student Self Service
    and
    Defaults for Administrators
    sections, select the default date that displays on the academic requirement evaluation tasks.
    Ensure that the corresponding options are selected in the
    Show for Student Self Service
    and
    Show for Administrators
    sections.
    Example: You select these options in the
    Defaults for Student Self Service
    section:
    • Default for Current Programs of Study
      :
      Current Requirements Effective Date
    • Default for New Programs of Study
      :
      Matriculation Date
    In the
    Show for Student Self Service
    section, select both
    Current Requirements Effective Date
    and
    Matriculation Date
    .
  7. Click
    OK
    and
    Done
    .
Workday displays the configured options on the
Requirements Effective Date
prompt on these tasks:
  • Evaluate Academic Requirements for Student
  • Evaluate Academic Requirements
