Create Academic Plans

You can manually create academic plans for students who don't have one. Students can then create and edit primary and alternate plans from the
Plan
report on the Academics profile group of the student profile.
For an updated user interface on academic plans, including drag-and-drop functionality, you can enable the
User Interface for Creating, Editing, and Approving Academic Plans
feature on the
Maintain Feature Opt-ins
report.
  1. Access the
    Create Academic Plan
    task.
  2. Complete the task:
    Option Description
    Academic Period
    Workday automatically populates this field from the typical attendance pattern. You can only select academic periods defined in the academic calendar used in the typical attendance pattern.
    When using an academic plan template, the academic period corresponds to the period number defined in the template, based on the academic record start date for the student. Example: The first academic period corresponds with the template row with a
    Period Number
    of

    If you've opted in to the
    User Interface for Creating, Editing, and Approving Academic Plans
    feature, you can drag and drop requirements from an academic period to another.
    Add
    Click to add years to the plan.
    If you're using the
    User Interface for Creating, Editing, and Approving Academic Plans
    feature, Workday displays the academic years in tabs in a horizontal layout across the page. Add tabs to add years.
    You can only add years configured in the academic calendar used in the typical attendance pattern, up to the last year.
    The first year in the plan corresponds to the academic record start date for the student.
    Academic Requirement
    Workday displays the version that's effective for the student's program of study as of its
    Requirements Effective Date
    .
    When multiple programs share an academic requirement, Workday displays the version effective on the
    Requirements Effective Date
    for the student's primary program of study.
    When using an academic plan template, Workday automatically populates this field from the template.
    Course
    Workday displays only courses that:
    • Satisfy the academic requirement based on the eligibility rule used in that version of the requirement.
    • The student can enroll in based on their enrollment access policy and registration restriction overrides.
    Workday displays the courses in these prompt categories:
    • All: All applicable courses offered by the institution.
    • Currently Offered: Courses with published course sections available for the academic period.
    • Typically Offered: Courses that are typically offered for the academic period type.
    When using an academic plan template, Workday automatically populates this field from the template.
    Status
    Workday displays these statuses for the selected courses:
    • Did Not Enroll
      : The student didn't take the course in the academic period listed in the plan.
    • Eligible to Enroll
      : The student has satisfied the requirements for enrolling in the course in the current or future academic periods.
    • Eligible to Enroll - Planned
      : The student is eligible for the course if they have successfully completed courses on their academic plan from previous academic periods.
    • Enrolled
      : The student is currently enrolled in the course. Example: If the student enrolled in a nonrepeatable course for a future academic period,

    • Failed
      : The student didn't earn the passing grade entered for
      Earn Units
      on the
      Student Grading Scheme
      of the course. Workday also displays the academic period in which the student took the course. If the course is repeatable, Workday indicates if the student took the course more than once. Example: For a repeatable course taken more than once, having failed the most recent registration,
      Failed Fall 2021, Multiple Attempts
      .
    • Not Eligible
      : The student hasn't satisfied the prerequisites to enroll in the course for the current or future academic period.
    • Passed
      : The student has already earned credit for the course. Workday also displays the academic period in which the student took the course. Workday indicates if the course is repeatable and taken more than once. Example: For a repeatable course that the student took in a previous academic period and passed,
      Passed Spring 2019, Repeatable
      . For a nonrepeatable course passed in a previous academic period,
      Passed Fall 2019
      .
    • Transfer Credit Applied
      : The student received transfer credit. If the course is repeatable, Workday indicates the course repeatability. Example:
      Transfer Credit Applied, Repeatable
      .
    • Withdrew
      : The student dropped the course with a
      W
      grade.
    Remaining Academic Requirements
    (Available only if you opt in to
    User Interface for Creating, Editing, and Approving Academic Plans
    .)
    Remaining requirements are those requirements not yet satisfied in the student's academic progress report.
    Individual requirements are organized into cards that are grouped by associated Program of Study and Program of Study Type.
    You can drag and drop requirement cards into plan periods on the
    Plan Period
    card.
    Each requirement card includes a
    Requirements Details
    link that displays a
    Requirements Details
    side panel containing additional information about the academic requirement.
    Each
    Plan Period
    includes a details column from which the
    Requirements Details
    side panel can also be viewed.
  3. Click

If you’ve configured the
Academic Plan Event
business process, students and advisors can also initiate an approval request. Workday sends the approval request to the approver's
My Tasks
. During the approval process, the approver can approve, deny, and send back the plan, or edit the requirements on the plan before sending it back to the student.
You and your students can view the
Plan
report on the Academics profile group of the student profile.
Click
Update Plan
to edit the academic plan.
To enable students to edit and view their academic plans, configure the security policy for the
Self-Service: Academic Planning
domain in the Academic Advising functional area.
After academic plans are created, students have the option to:
  • Click
    Update Plan
    and update their plan using the
    Edit My Academic Plan
    task.
  • Click
    Create Saved Schedule
    to create saved schedules from their plan and use them to register for courses during their registration window. See Concept: Student Registration.
  • Click
    View Saved Schedules
    to view all upcoming and past saved schedules.
