Steps: Set Up Academic Plans
Academic plans guide advisors and students toward completing the student's programs of study at your institution.
You can:
- Create academic plans for students manually.
- Set up Workday to create academic plans for students automatically during onboarding.
- Enable students to create their own academic plan, if they didn't receive a plan during onboarding.
- Create or enable students to create alternate academic plans.
- Configure approvals for primary academic plans.
- (Optional) Set up academic plan templates.
- (Optional) Configure theStudent Onboarding Eventbusiness process and security policy in the Student Records functional area.Configure Workday to create academic plans automatically and assign them to students during onboarding.
- (Optional) Access theMaintain Feature Opt-Insreport.To use the drag-and-drop functionality for primary and alternate academic plans, opt in toUser Interface for Creating, Editing, and Approving Academic Plans.Opting in enables administrators, students, and advisors to use the drag-and-drop interface when creating and editing primary and alternate academic plans. The opt-in also enables approvers to edit primary plans using the drag-and-drop interface during the approval process.Security:Set Up: Systemdomain in the System functional area.
- To enable students to edit and view their academic plans, configure the security policy for theSelf-Service: Academic Planningdomain in the Academic Advising functional area.
- (Optional) Enable students who don't have a primary academic plan to create their own.From thePlanreport of the Academics profile group of the student profile, they can clickCreate My Academic Plan.When you don't enable students to create their own academic plan, Workday displays a message telling students without a plan to contact their advisor.Security:Self-Service: Create Primary Academic Plandomain in the Academic Advising functional area.
- (Optional) Configure theAcademic Plan Eventbusiness process in the Academic Advising functional area.Enable approval of academic plans for students, either entirely or by academic period.
- (Optional) Maintain alternate academic plans for students who already have a primary plan.
- Create an alternate academic plan by accessing theCreate Alternate Academic Plan for Studenttask.
- Edit or delete a student's existing alternate academic plan when viewing it.
- View a student's existing alternate academic plans. Drill down into theView Alternate Plansoption on thePlanreport of the Academics profile group of the student profile.
Workday only displays theView Alternate Plansdrill-down for students with alternate plans.Security:Manage: Academic Planningdomain in the Academic Advising functional area. - (Optional) Enable students who have a primary academic plan to maintain alternate academic plans.From thePlanreport of the Academics profile group of their profile, students can:
- Create an alternate academic plan.
- Edit or delete an existing alternate academic plan when viewing it.
- View their existing alternate academic plans by drilling down into theView Alternate Plansoption.
Workday only displays theView Alternate Plansdrill-down for students with alternate plans.Security:Self-Service: Alternate Academic Plan Planningdomain in the Academic Advising functional area. - (Optional) Configure theChange Primary Academic Plan Eventbusiness process in the Academic Advising functional area.Enable students to request making an alternate academic plan their primary plan. Students can either request changing the entire plan or specific academic periods in the plan.
Students can now use academic plans to determine the coursework required to satisfy the academic requirements of their programs of study.
