Concept: Academic Plans
Academic plans:
- Help students satisfy academic requirements and complete their coursework.
- Provide students with the information they need to register for courses that help them complete their program of study.
Students can:
- Create an academic plan if they didn't receive one during onboarding.
- Update their academic plan.
- Request approval of their academic plan.
- Design multiple schedules from their plan and use these saved schedules for registration.
- Register from the plan.
- Create and update alternate academic plans.
Workday displays the student's academic plan on the
Plan
report of the Academics profile group of the student profile.Academic Plan Templates
You can use academic plan templates to create academic plans easily and efficiently. Workday populates plan information from the template you select from the templates assigned to the student's program of study.
Alternate Academic Plans
Students can have alternate academic plans along with their primary academic plan, helping them determine the best pathway to complete their program of study. These users can create and maintain alternate academic plans:
- Students.
- Administrators.
- An advisor with a role on a student's academic record.
- A person with a role on a student cohort.
These users can also request replacing the student's primary plan with one of their alternate plans. To do so, they click
Request Change Primary Plan
on the Plan
report of the Academics profile group of the student profile.Academic Plan Approvals
If your institution requires approval for academic plans, configure the
Academic Plan Event
business process in the Academic Advising functional area. Both students and advisors can initiate an approval for primary plans by clicking
Request Plan Approval
on the student's profile. They can request approval on either the entire plan or for selected academic periods on the plan.
The Enrollment Window End
date that's configured on the Maintain Academic Period Date Controls
task determines the plan periods that Workday sends for approval, even if you select to send the entire plan. The Academic Period is included if the Enrollment Window End
date is blank or has a future date. If the Enrollment Window End
date is in the past, Workday doesn't include the academic period for approval.Workday sends the plan to the approver’s
My Tasks
for approval. The approver can approve, deny, or send back the plan with a comment. If the student approves without changes, Workday sends the plan back to the approver for final approval. During the approval process, the approver can edit the plan requirements and courses only. Approvers can’t edit or remove academic years or academic plan periods.If you’ve opted in to the
User Interface for Creating, Editing, and Approving Academic Plans
, the approver can also click Edit Academic Plan Approval
from the Review
page to edit the plan before sending it to the student for approval. After the approval process completes, Workday updates the student's primary plan with the approved edits that the approver made to the plan requirements. From the student's profile, you can click the count drop-down next to
Plans Submitted for Approval
to view the details of the plan and the approval status.
