Steps: Configure Projects and Contracts Objects
Configure these parameters to populate values in the quote line:
- Billing schedule templates
- Project roles
- Project billing rate sheet
- Project standard cost rate sheet
- Rate categories
- Contract types
- Project hierarchy
- Project phases
- Project tasks
- Revenue schedule templates
- Sales items
- Sales item price list
- Access theCreate Project Hierarchytask.When you don't have a pre-existing project hierarchy in your environment, specify projects to include in the hierarchy. The hierarchy you create and select on the primary quote, defines the project hierarchy of opportunity projects. See Create Project Hierarchies.Security: Create ~Project~ Hierarchy business process and its domain in the Project Tracking functional area.
- Access theView Project Billing Ratestask.If you don’t have a pre-existing project billing rate sheet in your environment, create one to define default unit list prices for roles. See Create Project Billing Rate Sheets. You can also add dimensions such as company, customer and worktags to create quotes with prices based on the specified dimensions.When you assign roles to projects, rates populate automatically on the quote grid. You don’t need to configure a project billing rate sheet when you build the quote using the Create Quote from Spreadsheet functionality because the unit list price is specified in the spreadsheet.Configure these security domains in the Project Billing functional area:

- (Optional) Access theMaintain Project Rate Category and Memberstask.Defining rate categories allows you to configure more granular pricing for role prices by defaulting in the unit list price for roles on quotes. Workday supports a maximum of 5 categories per tenant. Once you have configured rate categories, you can include these values on a Project Billing Rate Sheet.You can view the rate categories from theView Project Billing Ratestask under theRate Dimensionstab.When you add a service that has a Project Billing Rate Sheet with Rate Categories, Workday displays additional prompt fields to enter the Rate Category values when you add or edit a role. We only display the Rate Categories that are configured on the Project Billing Rate Sheet.
- Access theCreate Project Standard Cost Rate Sheettask.When you don’t have a pre-existing cost rate sheet in your environment, create one to define the default unit cost for roles. You can define standard project cost rate sheets for a company and currency. See Create Project Standard Cost Rate Sheets. Currently, the role cost rates in a quote use the values from only theProject Roletab. The values in theProject Rate Ruletab are not supported.You don’t need to configure a cost rate sheet when you build the quote using the Create Quote from Spreadsheet functionality because the unit list price is specified in the spreadsheet.Security:Set Up: Project Billing - Rate Sheetdomain in the Project Billing functional area.
- Access theEdit Sales Itemtask.To be able to quote on an existing sales item in your catalog, select theQuotablecheck box under theSales Item Attributesection.To automatically populate the unit cost of the sales item in a quote, specify a value for the unit cost on the sales item.
- (Optional) Access theMaintain Sales Item Price Listtask.When you don't have a pre-existing price list, create one to define default unit list prices for items used in a quote. ClickAddto create a sales item price list and define the default prices for the sales items for a specific company and currency. You can also edit a pre-existing list. See Create Sales Item Price Lists.Configure these security domains:

- Set Up: Customer Contracts - Price Listsdomain in the Project Billing and Customer Contracts functional area.
- (Optional) Access theSet Up Sales Item Pricing Configurationtask.Map a sales item price list to a company or multiple companies. You can also set a default sales item price list. See Concept: Sales Items. When preconfigured, Workday populates the sales item price list in the service for the company on the quote.Security:Set Up: Sale Itemdomain in the Customer Accounts functional area.
- (Optional) Access theMaintain Project Rolestask.
- If you don’t have pre-existing project roles in your environment, then ensure to create them. You select these roles when you create quote role lines.
- Define role requirement categories and role requirements. Workday automatically populates these requirements on the roles when you add them to a quote service.

- (Optional) Access theMaintain Project Phasestask.If you don’t have pre-existing project phases in your environment, then create the phases. You select these phases when you create phases in your quote that categorize and sequence the work for your projects. - (Optional) Access theMaintain Project Taskstask.If you don’t have pre-existing project tasks in your environment, then create them. You select these tasks when you create tasks in your quote. See Create Project Tasks
- (Optional) Access theCreate Billing Schedule Template for Customer Contracttask.If you don’t have pre-existing billing schedule template in your environment, then create one to define the billing details. Workday uses the terms that you specify to create the billing schedule on the contract automatically. See Create Billing Schedule Templates for Customer Contracts.
- (Optional) Access theCreate Revenue Recognition Schedule Templatetask.If you don’t have pre-existing revenue recognition schedule template in your environment, then create one to define the revenue recognition method and schedule for the line item. Workday uses the terms that you specify to create the revenue recognition schedule on the contract automatically. See Create Customer Contracts.
- (Optional) Access theMaintain Customer Contract Typestask.If you don’t have pre-existing customer contract type in your environment, define customer contract types to capture the details of customer sales agreements. When you create quotes, the required data for project hierarchy, roles, sales items, and the associated rates is available to use.
