Create and Publish Document Template

Workday enables you to configure a document template that you can use to generate documents dynamically in PDF and DocX file formats from quote data.
You can use data sources, snippets, custom reports and fields in the quote document editor to design the template. When you're editing a document template we constantly auto-save your changes in a draft mode and display an
Unpublished Changes
indicator. This prevents the changes from being incorporated when you print the document. To print the latest changes, you must first publish the document template. You can also copy an existing document template to configure another template.
You can also use the
Get Quote Configurations
and
Put Quote Configuration
web services to create, update, or retrieve quote configurations. The quote document templates created from Put service are read-only and once created you can't update them.
  1. Access the
    Maintain Quote Configurations
    task.
  2. Click
    Create Quote Configuration
    button.
    To use an existing configuration, click
    Copy Templates From
    on the
    View Quote Configuration
    page.
  3. Click
    Add Document Template
    to create a new quote document template.
    • Type a name for the document template. We recommend using fewer than 100 characters, and avoiding special characters such as the ampersand (&), to ensure cross-product compatibility.
    • Select a custom report to use as the source for adding dynamic content. The report defines which data fields and condition rules are available and will be included in the generated document.
  4. Specify the layout for the content. For more details on this step, see the
    Design Document Layout
    topic.
  5. Click
    Publish
    to make the current content active in the template.
    • After you publish the template, it becomes available for selection when printing documents. A quote configuration can have multiple document templates.
    • New quotes will use the most recently published version of the document template.
The active and published document template becomes available for selection when you create a quote.
