Steps: Add Reconciling Items to Account Reconciliations

  • As a preparer, access a reconciliation and start preparing it. See Steps: Prepare Account Reconciliations.

    domain in the Financial Accounting functional area.
As the active preparer on an account reconciliation for a fiscal period, you can add and update reconciling items. You can add attachments to support the reconciling item, and include comments.
When a reconciling item is resolved, you can resolve it from the
View Reconciliation Workspace
report or the
Manage Reconciling Items
task.
To ensure continued performance, we recommend that you do not exceed 5,000 reconciling items per reconciliation.
  1. Access the
    View Reconciliation Workspace
    report for a reconciliation on which you're the active preparer, and click
    Manage Reconciling Items
    .
  2. On the
    Manage Reconciling Items
    task, add a row for each reconciling item:
    Option Description
    Reference Note
    Enter a reference note for the reconciling item, such as a transaction ID.
    Company
    Select the company that this reconciling item applies to. You can only select from the companies specified on the account reconciliation definition.
    Workday populates the company automatically when only one company is specified on the reconciliation definition, or one company hierarchy that contains a single company.
    Ledger Account
    Select the ledger account that this reconciling item applies to. You can only select from the ledger accounts on the reconciliation definition.
    When the
    Ledger Currency
    is different to the
    Translation Currency
    , you must select a ledger account. Workday uses the ledger account to determine which account translation method to apply, based on the account translation rule set specified on the reconciliation definition.
    Workday populates the ledger account automatically when only one ledger account is specified on the reconciliation definition
    Worktag
    Select worktags to apply to this reconciling item. You can select one worktag of each worktag type.
    Workday populates this prompt automatically when only one worktag is specified on the reconciliation definition.
    Book Code
    Select the book code to apply to this reconciling item. You can only select from the book codes that are included on the books on the reconciliation definition.
    Workday populates this prompt automatically when the reconciliation definition specifies a book that has only one book code.
    Related Balance
    Select the balance type that the reconciling item relates to, such as ledger balance or supporting balance.
    Reconciling Item Type
    Select a reconciling item type.
    Workday provides a number of reconciling item types. You can't set up your own reconciling item types.
    Transaction Currency
    When you select a company on the reconciling item, Workday populates the ledger currency of that company as the transaction currency. You can change this to another currency.
    Workday uses the transaction currency and ledger currency to populate the
    Currency Rate at Item Date
    field.
    Transaction Amount
    Enter the amount on the reconciling item in the transaction currency.
    When you enter a transaction amount, Workday calculates and populates the ledger amount so that
    Ledger Amount at Item Date

    Ledger Currency
    Workday displays the ledger currency of the company on the reconciling item. Workday uses the ledger currency with the transaction currency to populate the
    Currency Rate at Item Date
    field.
    When you don't select a company on the reconciling item, Workday uses the reconciliation currency on the reconciliation definition.
    Ledger Amount at Item Date
    Workday calculates and populates the ledger amount at item date based on the
    Transaction Amount
    and
    Currency Rate at Item Date
    .
    When you change the ledger amount at item date, Workday updates the currency rate at item date so that
    Ledger Amount at Item Date
    =
    Transaction Amount
    ×
    Currency Rate at Item Date
    .
    Currency Rate at Item Date
    Workday populates the
    Currency Rate at Item Date
    automatically based on the
    Transaction Currency
    and
    Ledger Currency
    .
    When the transaction currency is the same as the ledger currency, Workday enters

    as the currency rate at item date.
    When the transaction currency is different to the ledger currency, Workday calculates and enters the currency rate at item date using the:
    • Transaction Currency
      and
      Item Date
      on the reconciling item.
    • Currency Rate Type
      on the reconciliation definition.
    When you change the currency rate at item date, Workday updates the ledger amount so that
    Ledger Amount at Item Date

    Ledger Amount at Period End
    Workday populates this field automatically. When you create a reconciling item, the
    Ledger Amount at Period End
    is the same as the
    Ledger Amount at Item Date
    .
    When a reconciling item rolls forward into the next period and the
    Revalued Ledger Accounts
    check box is checked on the reconciliation definition, Workday updates the
    Ledger Amount at Period End
    based on the rate in effect at the end of the new period.
    When the
    Revalued Ledger Accounts
    check box is unchecked on the reconciliation definition, Workday doesn't update this field when a reconciling item rolls forward into the next period.
    Currency Rate at Period End
    Workday populates this value automatically. When you create a reconciling item, the
    Currency Rate at Period End
    is the same as the
    Currency Rate at Item Date
    .
    When a reconciling item rolls forward into the next period and the
    Revalued Ledger Accounts
    check box is checked on the reconciliation definition, Workday updates the
    Currency Rate at Period End
    with the rate in effect at the end of the new period.
    When the
    Revalued Ledger Accounts
    check box is unchecked on the reconciliation definition, Workday doesn't update this field when a reconciling item rolls forward into the next period.
    Translated Amount
    Translation Currency
    Translation Rate
    Workday automatically populates the
    Translation Currency
    ,
    Translated Amount
    , and
    Translation Rate
    fields.
    The translation currency is the
    Reconciliation Currency
    selected on the reconciliation definition.
    Workday converts the amount on the reconciling item to the translation currency using the account translation rule set specified on the reconciliation definition.
    Description
    Enter a description of the reconciling item. Example:
    Outstanding check
    .
    Item Date
    Select the date of the transaction that resulted in the reconciling item.
    Resolution Date
    When you select a resolution date, Workday updates the status of the reconciling item to
    Resolved
    .
    When you don't resolve a reconciling item before the reconciliation is submitted and certified, Workday rolls the reconciling item into the next period. Workday continues to roll reconciling items forward until you resolve them.
    After a reconciling item is resolved, it displays in the reconciliation for the period containing the resolution date, but the item amount is not included in the balances for that reconciliation. The reconciling item won’t display in reconciliations for any future periods.
    You can also resolve reconciling items from the grid on the
    Reconciling Items
    tab on the
    View Reconciliation Workspace
    report.
    Age in Days
    Workday displays the age of reconciling items in ranges, such as 1-30 days old, or 30-60 days old.
    Workday calculates the age as the number of days between the date of the reconciling item and the earliest of:
    • The resolution date on the reconciling item, if available.
    • The end of the period being reconciled.
    • The current date.
    Attachments
    Displays any attachments that have been added to the reconciling item.
    Comments
    Displays a thread of any comments that have been added to the reconciling item.
    Add Comment
    Enter comments to communicate any required information about the reconciling item. After you complete the task, Workday displays the comment in the
    Comments
    field for the reconciling item.
    You can also add comments from the grid on the
    Reconciling Items
    tab on the
    View Reconciliation Workspace
    report.
  3. After you complete the rows for your reconciling items, click:
    1. Continue to Add Attachments
      to add attachments to your reconciling items.
    2. Done
      to return to the
      View Reconciliation Workspace
      report without adding attachments.
  4. (Optional) On the
    Add Attachments to Reconciling Items
    task:
    1. On the grid, click
      Edit Attachments
      in the row for the reconciling item that you want to add an attachment to.
    2. Add your attachment, then click
      OK
      .
      The attachment size limit is determined by the tenant-level setting. See Reference: File Size and Printing Limits.
    3. After you add all attachments, click
      OK
      to return to the
      View Reconciliation Workspace
      report, or click
      Back to Reconciling Items
      to return to the
      Manage Reconciling Items
      task.
On the
View Reconciliation Workspace
report, Workday displays the:
  • Balance of the reconciling items in the reconciliation currency in the
    Reconciliation Summary
    section.
  • Details of the reconciling items on the
    Reconciling Items
    grid.
