Reference: Document, File Size, and Printing Limits
This topic summarizes all of Workday's document service limits, including storage limits, attachment file sizes, printing limits, and expirations.
When you reach or exceed any integration or platform service limit set forth below, Workday may, in its sole discretion, (a) throttle your use of the service or (b) suspend your access to the service until usage is brought within the limit. In the event Workday makes available products or services which allow you to purchase additional capacity for a particular integration or platform service, you can elect to purchase those products or services subject to any applicable terms and conditions. Contact your Customer Success Manager to learn about options to increase capacity if throttling or suspending the service are not acceptable options.
Total Document Storage
You can store up to 10 terabyte (TB) of documents, such as resumes, invoices, and reports, in Workday. Workday’s storage usage is calculated in binary terabyte (TB), also known as a tebibyte (TiB), where 1 TB is 1,024 GB or 1,099,511,627,776 bytes. You can view your current document storage usage in the Platform Consumption Console in your Workday tenant. The Platform Consumption Console reports storage in GB, where 10,240 GB = 10 TB limit. The size of an individual compressed file that you can store in

can be up to 1 GB. You can store these types of files in My Reports
:- Cloud Archive Files (used for shared Solutions).
- Scheduled Reports.
- Output from Outbound EIBs.
- Output files from Connectors and Studio integrations.
You can configure Studio integrations to retrieve documents from an external location.
Attachment Size in Tenant Setup
The maximum attachment size is 30,720 KB (30 MB) and the maximum image size is 10,240 KB (10 MB). You can't change these size limits. These limits apply to anywhere in Workday where an attachment or image is created.
Printing to PDF from the Workday User Interface
When you access a very large Workday report in your browser, Workday provides a best-effort attempt to process print requests as quickly as possible. However, Workday doesn’t guarantee when a print request will complete. These factors are highly dependent on the current load on Workday and the work that needs to take place. Since Workday processes run on shared resources, processing time can vary greatly depending on how many other requests Workday is processing at the same time.
When processing times are high, Workday might:
- Display the messageThis document is too large to produce as a printable version (PDF)when you hover over the printer icon.
- Not display the printer icon.
Printing Business Forms
Business forms based on Report Designer in Workday Studio and XSLT are subject to the same runtime boundaries as Studio integrations. To ensure resource availability for all customers, Workday terminates any business form printing job that:
- Generates more than 3 GB of files during the integration run.
- Generates any single file larger than 1 GB (compressed) during the integration run.
- Uses more than 6 GB of memory during processing or 27 GB if run in bulk.
- Takes longer than 2 hours to process. This 2-hour limit includes both the time needed to retrieve data using Reports as a Service (RaaS) and the time taken to generate the PDF. Factors such as the complexity of the report definition in Workday, the report design in Workday Studio, and custom XSLT transformations can impact the time needed to generate a business form PDF.
The maximum number of attachments for a business form is 999. Large image sizes within report designs can negatively impact print job performance by reducing the number of rows processed per batch and increasing overall processing time. To prevent job failures due to memory limitations, Workday recommends that you:
- Ensure all embedded images in the report design are actively used and remove them when not needed.
- Resize all the images used to the minimum dimensions required for the design page. Images should generally not exceed 600 x 800 pixels.
- Utilize the preferred JPG image file format for its efficient compression, especially for photographic content.
- Test for the maximum supported rows to avoid print job failure.
Workday supports these attachment types, in portrait and landscape orientation, for business forms:
- GIF
- IEF
- JPG
- PNG
- TIFF
- BMP
- XWD
- PDF
When Workday processes a business form, a resulting document (PDF) is created and sent to
My Reports
. While you can specify how long a resulting document is available in Workday on the Create Business Form Layout
task, the maximum amount is 25,000 days. Ensure that the expiration offset you specify complies with your organization's document retention policy. Workday automatically deletes documents after the offset number of days and you can't recover these documents.
