Set Up Customer Overview

Set Up Customer Overview

  • Define customer categories.
  • Configure these business processes and security policies in the Customers functional area:
    • Customer Banking Change Event
    • Customer Credit Change Event
    • Customer Event
    • Customer Payment Change Event
    • Customer Summary Change Event
  • Security: These domains in the Customers functional area:
    • Set Up: Customer Maintenance
    • Set Up: Customer Notes
You can edit the various customer attributes for convenient transaction processing. You can hide and reorder profile group tabs, but when you hide the
Overview
tab, you can only view and edit customer information from the related actions menu for the customer.
  1. From the related actions menu for a customer, select
    Customer
    Edit
    .
  2. Select the
    Overview
    tab.
  3. Complete the
    Summary
    profile group.
    Option Description
    Related Worktags
    Set up related worktags for the customer using the related worktag types using the related worktag types that you configure on the
    Maintain Related Worktag Usage
    task. Workday populates transactions with the values in the Default Worktag column when you select the object on the transaction.
    Restricted to Companies
    Select 1 or more companies or company hierarchies that you want to associate with the customer.
    When you create a transaction and select a company, the
    Bill-To Customer
    and
    Sold-To Customer
    prompts display only those customers that you have access to and are in your selection.
    When you:
    • Select multiple companies from the prompt, you can't remove a company from the customer while a transaction is in progress.
    • Select only 1 company from the prompt, you can remove it even when a transaction is in progress between the company and the customer.
    • Don't make a selection, Workday includes all companies for transactions with the customer.
    When you configure companies as customers, you can use the
    Initiate Allowed
    field on the
    Edit Company Intercompany Profile
    task to determine the companies that can complete transactions.
  4. Complete the
    Payment Details
    profile group.
    Option Description
    Default Reference Type
    Select a reference type when a country where you’re doing business requires it to support additional invoice reference numbers.
    The default reference type displays on invoices when the company address matches the customer bill-to address.
    Separate Payments
    • Customer Invoices
      : Use to separates payments for direct debit or credit card customer invoices and credit adjustments for the same company, payee, and payment type. When you:
      • Clear the check box, Workday groups all customer invoices and adjustments for the same customer into a single payment on the settlement run.
      • Select the check box, Workday groups customer invoices and adjustments into separate payments on the settlement run. Example: The settlement run creates a separate payment for an invoice and adjustments #1, #2, and #3, as long as they have the same company, payee, and payment type.
      • When invoices and credit adjustments have a printed direct debit mandate pre-notification, Workday groups them into the same payment even if you select to always separate payments.
    • Customer Refunds
      : Creates separate payments for customer refunds in a settlement run. When you don’t select the check box, Workday continues to group customer refunds for the same bank account, company, currency, payee, payee remit-to address, and payment type into a single refund payment.
    Workday also:
    • Groups multiple refunds together into 1 payment.
    • Nets out adjustment because it doesn't generate negative payments.
    To use this functionality, opt in to the
    Customer Refunds Optimization
    feature on the
    Maintain Feature Opt-Ins
    report.
    Remit-From Customer
    You can select a remit-from customer that's different from a bill-to customer. When you select a remit-from customer, Workday:
    • Enables you to use the value when configuring document delivery.
    • Retrieves invoices for both bill-to and remit-from customers when applying payments.
    Interest and Late Fees
    This section is only available when you opt in to the
    Enable Interest and Late Fees
    option in the
    Customer Account Options
    on the
    Edit Tenant Setup - Financials
    task.
    When you select:
    • An interest rule or a late fee rule, Workday overrides any other specifications.
    • The
      Exempt
      check box, Workday excludes all past-due customer invoices from the calculation run, except overriding the rule on the billing schedule or customer invoice.
  5. Complete the
    Banking Information
    profile group.
    Option Description
    Settlement Bank Account
    Enter details for processing electronic payments. You can use any combination of accepted payment types and a company settlement bank account.
    Intermediary Bank Accounts
    Click to link to settlement bank accounts when the government at your company location requires banking intermediaries.
    Requires Prenote
    Select prenote payments to preauthorize the settlement bank.
    Customer Credit Card Profile
    Maintain information on customer credit cards when you process payments using Cybersource during settlement.
    You can't delete or inactive a credit card once you use it for a payment.
    Remit-To Lockbox
    Configure to ensure that customers remit payments to the correct lockbox for the company bank.
  6. In the Tax Information profile group, add tax IDs and statuses for countries where you do business with the customer. You can include multiple tax IDs per country but only 1 tax ID for each combination of country and tax ID type. You can select the
    Transaction Tax ID
    check box for 1 tax ID only.
  7. Click
    Submit
    .
Configure customer contacts, and billing and shipping addresses, and set up a shipping connection map.
