Steps: Set Up Customer Addresses and Contacts

  • Security: These domains in the Customers functional area:
    • Set Up: Customer Contacts.
    • Set Up: Customer Maintenance.
On the customer profile, you can add customer contact information and define addresses for billing and shipping purposes. Examples:
  • Add bill-to and ship-to business information that displays on contracts and invoices.
  • Define contact types and usage.
  • Identify primary contacts.
  • Send customer invoices to a single billing customer that includes multiple ship-to customers.
  • Select an optional default ship-to address for each combination of bill-to and ship-to customers.
  • Translate labels on customer documents.
You can add multiple contact details for each contact type, but you can set only 1 as primary contact for each.
You can override default customer contact settings on billing schedules and invoices, as required. Document settings for customer invoices also apply to consolidated customer invoices.
When you:
  • Don't set up email recipients for document delivery, Workday uses the primary customer email address. You can override the document email settings when you run the email delivery task.
  • When you don't assign a shipping address for ship-to business connections, Workday uses the shipping address with the most recent effective date.
  • Use tax defaulting rules for ship-to business connections, Workday determines the default tax code based on the ship-to address. You can only select 1 address per customer as the default.
To create or update large volumes of addresses and contacts, you can use these web services:
  • Put Business Connection
  • Put Business Entity Contact
  • Submit Customer
  1. (Optional) Access the
    Maintain Contact Types
    task.
    Configure customer contact types to add the
    Contact Type
    prompt to the Customer Contacts profile group on the
    Addresses and Contacts
    tab on the customer profile.

  2. (Optional) Configure email settings for invoice documents and select a delivery method of Integration.
  3. (Optional) Access the
    Edit Tenant Setup - Notifications
    task.
    Configure the
    Notification Delivery Settings
    section to generate email notifications for related business process steps.

  4. From the related actions menu for a customer, select
    Customer
    Edit
    .
    On the
    Addresses and Contacts
    profile group, configure:
    • Contact and primary contact details for customers.
    • Bill-to contacts and ship-to business connections. To configure the Connection Map on the customer profile, add at least 1 shipping address on the customer profile.
    • Legal customer names in the
      Alternate Names
      grid in the
      Document Delivery
      profile group.
    Security:

  5. Configure security to enable access to customer profiles and related reports.
