Transfer Assets

You can transfer assets within the same company to different workers, locations, or sets of worktags. Example: You move an asset from 1 cost center to another.
You can transfer:
  • A single asset.
  • Assets in bulk.
When transferring assets in bulk, you can also return assets to storage.
You can transfer assets with a status of:
  • In Service
    .
  • Issued
    .
  • Out of Service
    when transferring a single asset.
  • Registered
    .
You can't transfer leased assets that you register from lease-type supplier contracts.
  1. Access 1 of these tasks:
    • Transfer Assets
      to transfer assets in bulk.
    • Select
      Business Asset
      Transfer
      from the related actions menu of an asset to transfer a single asset.
  2. (Optional) When you transfer assets in bulk, enter filter criteria.
    When you configure related worktags for the Spend Category worktag type using the
    Maintain Related Worktag Usage
    task, you must select a value in the
    Spend Category
    prompt.
  3. Enter transfer-to values:
    Option Description
    Transaction Effective Date
    You can only transfer assets that you acquire before the transfer date.
    Depreciation Adjustment Option
    Displays for depreciable capital assets only.
    Select how Workday determines when to start adjusting depreciation for the lifecycle event. See Concept: Depreciation Adjustment Options.
    Return to Storage
    Select to remove the workers on assets.
    For Workday to return assets to storage, you must also transfer the assets to either:
    • A different location.
    • Different worktags.
    To return assets to storage in bulk without changing their location, you can use 1 of these web services:
    • Bulk Import Transfer Asset
    • Transfer Asset
    The
    Return to Storage
    option doesn't display when you transfer a single asset. To remove a worker from a single asset, you can clear the transfer-to worker. You don't have to change the location.
    Transfer To Worker
    Select to change the worker on assets.
    When you select a transfer-to worker:
    • You can only transfer assets with a status of
      Issued
      .
    • Workday populates the transfer-to location and worktags from the transfer-to worker. You can change these values.
    Transfer To Location
    Leave the prompt empty to:
    • Retain the current location, when you transfer assets in bulk.
    • Clear the location, when you transfer a single asset.
  4. Click
    OK
    or
    Submit
    .
  5. (Optional) When transferring assets in bulk, select assets.
  6. (Optional) When transferring assets in bulk, click
    OK
    ,
    Submit
    , and
    Done
    .
Workday initiates 1
Asset Transfer Event
business process for each asset that you transfer.
When you complete the asset transfer, Workday:
  • Moves the net book value of the asset and creates operational transactions with accounting for capital assets. See Concept: Accounting Impact of Asset Lifecycle Events.
  • Updates the status of the asset to
    In Service
    when you return assets to storage. Workday doesn't automatically suspend depreciation on the asset.
When you transfer assets to different workers or locations, Workday also adds a row to the
Custodian
tab on the
View Business Asset
report.
