Set Up Asset Shares

  • Set up asset tracking or accounting. See:
  • Register assets.
  • Complete any asset lifecycle events in progress on the assets that you share.
  • Security: Configure the
    Asset Share Event
    business process and security policy in the Business Asset Tracking functional area.
Asset shares enable you to split asset cost and depreciation across multiple cost centers or other worktags. You can also populate asset classes and types on asset shares for reporting purposes.
When you register business assets from supplier invoices or purchase order receipts with line splits, Workday automatically creates the corresponding asset shares.
You can also manually split assets or update existing asset shares for assets that aren't:
  • Components of a nondiscrete composite asset.
  • Discrete composite assets.
  • Disposed or removed.
  1. Select
    Business Asset
    Maintain Asset Shares
    from the related actions menu of an asset you want to share.
  2. (Optional) Update the transaction effective date and, for depreciable capital assets, the depreciation adjustment option.
  3. Add rows for shared asset line splits:
    Option Description
    Share Percent
    Asset Share Amount
    Enter an asset share percent or amount. Workday automatically calculates and displays the value into the other field based on the value you enter.
    Ensure the share percentages for all rows total 100 and the value in the
    Amount to be Split
    field is zero.
    Asset Class
    Asset Type
    Worktags
    Select values to apply to the asset share for 1 or more of these options.
    For asset class and type, you can:
    • Assign the same asset class or type to more than 1 asset share.
    • Populate the asset class and type at the asset level or at the asset share level, but not both.
    For worktags, you can assign:
    • Up to 1 worktag of each type to an asset share. Example: You can assign 1 cost center and 1 region to an asset share, but you can’t assign 2 cost centers to the same asset share.
    • The same worktag to more than 1 asset share.
    When you submit, Workday validates that you have selected allowed or required values based on your related worktag configuration. See:
Workday:
  • Splits the depreciation schedule for the asset according to the worktags on shares that you set up. You can review the depreciation information on the
    Depreciation Detail
    tab of the asset.
  • Initiates a transfer event to the new worktags on asset shares to ensure accurate accounting. This triggers depreciation posting for the asset.
When you perform lifecycle events with cost or accounting impact, Workday uses the share percentage to determine the amounts to apply to each line of the shared asset.
To determine accounting cost sharing and the share of costs related to lifecycle events, you can review shared asset line splits by clicking the
Asset Shares
link on these reports:
  • View Business Asset
  • View Asset by Book
You can also create custom reports for the single asset and drill down to view the shared cost details. You can report by asset:
  • Cost
  • Class
  • Type
