Concept: Asset Tracking Tasks

Asset tracking tasks enable you to physically track business assets in Workday. When you perform some of these tasks on capital assets, Workday creates or updates the related accounting entries in accounting asset books. See Concept: Accounting Impact of Asset Lifecycle Events.
You can access asset tracking tasks from the related actions menu of registered assets. Task availability depends on:
  • How you register the assets. See Register Assets.
  • The status of the assets.
  • Previous activity on the assets.
Before initiating new changes on assets, you must complete any lifecycle events in progress.

Copy Asset
Copy the details of an existing asset to simplify registering a new asset.
Process: Business Assets

Edit
Edit assets to:
  • Add attachments.
  • Add or remove components of a discrete composite asset.
  • Relate registered assets that belong to the same company and aren't disposed.
  • Update identification information.

Issue to a Worker
Assign assets to workers, making them the custodians of company property.
You can only issue assets with a status of
Registered
or
In Service
. To change the custodian, transfer the assets.
When you enable asset accounting and change the location or worktags on capital assets, Workday generates accounting to move their net book value.
You can also issue multiple assets at once using the
Issue Assets
task.
Configure the
Asset Issue Event
business process and security policy in the Business Asset Tracking functional area.
Remove Asset
Remove assets that you register by mistake. See Remove Assets.
Configure the
Asset Removal Event
business process and security policy in the Business Asset Tracking functional area.
Transfer
Transfer assets within the same company to different workers, locations, or sets of worktags.
You can also transfer multiple assets at once using the
Transfer Assets
task.

business process and security policy in the Business Asset Tracking functional area.
Transfer to Different Company
Transfer assets without suspended depreciation to a different company.
When you enable business asset accounting:
  • Workday transfers the net book value of the assets and creates operational transactions with accounting for both companies.
  • Both companies must have the same:
    • Base currency.
    • Company asset books.
    • Primary asset book.
    • Asset book fiscal schedules.
  • When the
    Asset Intercompany Transfer In Event
    business process of the transfer-to company includes the
    Review Asset Intercompany Accounting
    action step, Workday creates a task in My Tasks, enabling you to review the accounting attributes for the new asset as part of the transfer transaction. Otherwise, Workday transfers the asset with the same attributes it had in the transfer-from company.

  • Asset Intercompany Transfer Out Event
