Concept: Building Web Reports

You can use web reports to display Workday Adaptive Planning data, based on your report parameters.
You can:
  • Add calculations and formatting.
  • Combine data from all sheet and account types.
  • Run and save reports in multiple formats.
To use the loaded pre-converted actuals data (translated currency), the report can only have versions enabled with translated currency. When you add at least 1 version without translated currency, the entire report uses Adaptive Planning's conversion rates for all versions.
To use translated currencies in web reports, you can only include versions that enable it. If you add at least one version without translated currency, the entire report uses the exchange rates set up in Modeling for all versions.

Report Types

You can create these types of web reports:
  • Matrix
    : Most commonly used report type with the most functionality. You can arrange data elements like accounts and levels in rows and columns. You can use parameters to change report display options.
  • Model
    : Row or list-base reports. Example: Personnel reports. Model reports only display data from modeled sheets.
  • Transactions
    : Row or list-based reports. Only display transactions data.
  • Pattern
    : Displays how selected values spread over time. You create these patterns using spread lookup tables in modeled sheets.
  • Audit Trail Search
    : If you enable Audit Trail on your instance, you can use the reports to query cell data changes. Examples: Cell data changes in standard and modeled sheets, shared formulas, and assumptions. You can't use audit trail search reports to query structural changes. Example: Adding or changing levels or accounts.
  • Report Book
    : Comprises a collection of different report types that you can use in presentations.
  • Static files: Upload any file type up to 40 MB as a report to share content across your organization. Examples: Schedules, instructions, and training videos.

Data Access in Reports

You can only view the data to which you have access. These are some guiding principles:
  • You need at least View access to an account at some level to build a report.
  • For the same intersection, different users can view different values based on their access.
  • In the Elements tab, you can see:
    • All the accounts to which you have at least Limited View access at some level, and you can see.
    • All the levels to which you have access.
  • Partial rollups occur when the report displays a rollup cell that you don't have access to. The total displayed contains only the contributors that you can access.
  • You can create invalid intersections when you have access to the secured dimension values at other intersections, but not at the specific intersection. These intersections then display blanks or zeros.
    Example: You have access to Expense accounts at the Engineering level and Revenue accounts at the Sales level. Expenses at Sales is an invalid intersection for you.
  • You might see various messages when you come across invalid intersections. If you feel that you can't get to the data you need to see or edit, talk to your admin about your access rules.
  • Shared formulas, formulas entered in cells, and calculated accounts evaluate the same value for all users, regardless of access.
  • The formula itself displays as "f(x) restricted" when you don't have at least Limited Read access to all the terms in the formula.
The folders in which you save reports also determine access:
  • Personal
    : Only you can access reports saved to this folder.
  • Shared
    : You can share reports saved in this folder.

Precedence Rules for Report Elements

Web reports use these precedence rules when displaying data:
  • Cells override rows.
  • Rows override columns.
  • Columns override reports.
You can change the default properties of report elements.
