Concept: Restricting Attributes and Segments

Restricting attributes and segments enables you to control which user groups can access restricted segment scores or segment values on employee records.
To get started, we recommend considering 3 things:
  • What would you like to restrict?
  • Would you like to restrict dashboard access or access to the employee record, or both?
  • Which access control groups should have access to restricted attributes?

Use Cases

Restrict sensitive employee attributes that you collect using surveys, so that only the Human Resources employees can access the relevant survey scores or employee data.
Restrict the Human Resources segment and deactivate the
Access restricted attributes
permission for Human Resources employees, so they can access all segments in the company without seeing their own team's dashboard.
Restrict an attribute's segment score visibility (Example: using the
No one
restriction option) for admin purposes, rather than analysis:
  • Segmenting employees into kiosk versus email for survey targeting.
  • Segmenting managers into managers with or without comment access, for access control group targeting.

Restricting Attributes

It’s possible to restrict attributes on the employee record and in the dashboard. Each restriction type has 3 options.

This refers to the attribute field displaying on employee records.
  • Anyone who can access employee profiles.
  • Only those with rights to view restricted attribute data.
  • No one.
It isn't possible to restrict
Employee Attributes
on the standard
Tenure
attribute.
Segment scores.
This refers to seeing scores from the segment in heat maps.
  • Anyone who can view segments on the dashboard.
  • Only those with rights to access restricted segments.
  • No one.

Restricting Segments

You can restrict segments from
Option
,
Employee
, and
Combination
type attributes.
When restricting individual segments, it's only possible to restrict segments scores in the dashboard. If you don't restrict the attribute, it will display all segment options on employee records.

This refers to seeing scores from the segment in heat maps.
  • Anyone who can view segments on the dashboard.
  • Only those with rights to access restricted segments.
  • No one.

Access

These permissions control access to restricted attributes and segments:
  • The
    Access restricted attributes
    permission in the
    Access statistics
    section.
  • The
    View restricted attributes
    in the
    Employees
    section.
Leaders who manage restricted attribute segments or inherit restricted child segments can still switch their context to their dashboards. This is the case even if they don't have the
Access restricted attributes
permission.
Example: You restricted the
Manager
attribute, however it's the child attribute of the
Department
attribute. A senior leader is a segment manager of
Marketing (Department)
segment. Due to the hierarchy you created, the senior leader can also access the child segments from the
Manager
attribute.
If you select the
No one
option for a restricted attribute or segment, no one can access it, including administrators or those with access to restricted attributes. This also affects the Peakon integration with your HR system, as the attribute won't sync if it's restricted.

Strengths and focus areas
Segments from restricted attributes won't become focus segments.
Managers with access to view restricted attributes can still use them for comparison.
Hierarchical segments
If a leader manages a parent segment of a hierarchy, they can switch their context to the dashboard of a restricted segment.
HRIS integrations
Restricted attributes will sync into Peakon when using a HRIS. However, when the attribute is restricted but disabled (the
No one
option is selected), it won't sync into Peakon.
