Concept: Digest Email Notifications

Background

The digest email is a dashboard summary that leaders receive by email.
There are multiple notifications that trigger digest emails. Organizations can select whether their leaders should receive the digest email on an automatic cadence (triggered by due notifications), or to delay the digest email to the end of the survey round.
Digest emails contain summaries of multiple dashboards for users that manage more than 1 area in Peakon. At most, each qualifying manager will receive 1 digest email in a single day.

Prerequisites

All leaders with dashboard access are eligible to receive digest emails, if they meet all 3 conditions:
  • The leader has the required permissions to be able to access their dashboard at the time of digest email send-out.
  • Their dashboard has met the organization's data visibility thresholds.
  • Their dashboard has due notifications, if you've selected the
    Automatic
    option.
It's not possible to deactivate the digest email, however you can use access permissions to control who receives it. Example: Deactivate the access control groups of users who shouldn't receive a digest email.
These are the required permissions to receive digest emails:
  • Access Statistics.
  • Access [..] comments (Example: Access driver comments).
  • Access comments in real-time (when using
    Automatic
    digest frequency).
Managers don't have to be part of the survey themselves to receive digest emails. The purpose of the digest email is to notify managers of updates in the dashboards that they manage.
Example: If you run a pilot survey with targeted employees, managers of those employees may get a digest email if their dashboard recalculates as a result of the pilot survey. See the conditions that trigger a dashboard recalculation in Concept: Strengths and Focus Areas.

Send-out Time

The send-out time for digest emails is 06:00 UTC.
Peakon runs a second check at 14:00 UTC to pick up any leftover digest emails that are still due. Example: There were send-out issues with the first batch.
Peakon can also send digest emails inbetween survey rounds, if there is a focus area update on the dashboard. Example: A senior manager has set a focus area for you.

Email Content

The digest email contains multiple components and the received email's content depends on the notification type, survey settings, and the access permissions of the manager.
Although there are multiple variations of the digest email, digests always contain a snapshot of due notifications, a dashboard link and links to relevant support documentation. Additionally, digest emails can contain the main score of each question set, participation metrics, and suggested micro courses, where relevant.
These notifications trigger digest emails:
  • New comments.
  • Peakon has identified a new strength or focus area.
  • Peakon has removed a recommended focus area.
  • Someone has accepted or manually set a new focus area.
  • Someone has dismissed a recommended focus area.
  • Someone has removed a focus area.
  • Peakon has identified a new highlighted segment.
  • The engagement or eNPS score has increased or decreased since the previous round.
  • The PowerPoint presentation now includes data from your last survey.
  • Peakon has detected a potentially sensitive comment.
  • Someone has set an action on your dashboard.
If you manage multiple segments, the digest email that you receive will contain a section for each dashboard that you manage, if they meet your organization's visibility thresholds.
It's not possible to preview or customize the content of digest emails.
Digest emails follow the access control permissions of each manager to prevent managers from receiving unactionable digest notifications.
Example: If your organization's managers don't have access to comments and you've set digest emails to
Automatic
, managers likely won't receive many (or any) digest emails during the round. This is because the new comment notification is the most frequent digest trigger during survey rounds. Managers will receive a digest at the end of the round, but it won't contain a comments section.

Configuration

Within each survey schedule, you can set the digest email frequency to automatic or to end of the survey round. See Set Digest Email Frequency for instructions.

Description
Automatic
Sends a daily digest email to managers above the visibility threshold, if their dashboards have due notifications.
End of round
Sends a digest email to managers above the visibility threshold at the end of the survey round.
If there's an update in focus areas during the survey round (Example: a senior leader accepts or dismisses a focus area on a manager's behalf), the segment manager will receive a digest email the next working day.
You can also switch digest email frequency during the survey round and the changes will take effect immediately. Example: If you switch to automatic digest emails, eligible managers will start receiving them from the next day, if they have due notifications. If you switch to the end of round digest, the daily digests will stop.
If you deactivate email send-out on a survey schedule (Example: for a kiosk survey), it doesn't deactivate the send-out of digest emails.
Recipients can manage their email subscriptions individually, and unsubscribe to digest emails if they wish. Unsubscribing to the digest email doesn't affect other emails. Recipients can resubscribe by configuring their notification settings in their Peakon account.

Limitations

  • It's not possible to preview digest emails in the Peakon user interface. Digest emails vary for each user, depending on the notification type, survey settings, and access permissions.
  • It's not possible to change the email sender, subject line or content of digest emails.
  • It's not possible to resend digest emails or to manually trigger a digest email send-out. If you deactivate manager access during and after the survey, it's not possible to re-trigger digest email notifications when you activate their access at a later time. As a workaround, you can bulk notify managers with a dashboard invitation through the access control group. Managers will be able to access the information that would have been in the digest by going into their dashboard, and the notifications tab.
  • It's not possible to resubscribe managers to digest emails on their behalf.
  • If an employee submits a comment but then resets their survey, this comment will no longer display in dashboards. However, if the employee completed this action after their manager had already received the daily digest, a snippet of the comment can display in that email and therefore be visible to the manager.
