Concept: Action Planning
Common feedback from employees is that they feel their survey responses won't make a difference. Peakon's action planning functionality enables leaders to create improvement plans based on their dashboard scores and share their actions with their teams.
To help leaders with action planning, it's possible to create actions using a multitude of sources:
- Recommended actions by Peakon.
- Recommended actions created by their organization.
- Actions derived from confidential team suggestions when setting a new focus area.
- Custom actions created by the leader themselves.
Background
Peakon provides a library of recommended actions that display on the
Improve
tab of each driver, or when you take a micro course related to a specific driver. Leaders can use recommended actions and customize them accordingly, or create their own actions entirely. It's also possible for employees to participate in confidential brainstorming by providing suggestions on the team's focus areas. Team suggestions can help bridge the gap between having low scores without enough comments to understand the issue. See Set a Focus Area for Your Team and Concept: Team Suggestions on Focus Areas.
Although it's most common to link action plans to focus areas, leaders can create actions on any driver or subdriver.
Each action displays on the dashboard of the segment context that you created it on. Example: If a manager creates an action in the segment
Marketing [Department]
, this is where the action belongs.Any action that a manager creates counts towards their own statistics in the
Usage Metrics
report, even if they created the action on someone else's behalf.Access
Administrators can configure manager access to the action planning functionality using these permissions in access control:
- Access to actions- the ability to see action plans.
- Manage actions- the ability to create, edit and delete actions.
Both permissions provide action planning access to the dashboards that each leader manages, including segments they manage through the hierarchical attribute setup of your company. Example: If a senior leader manages employees that are line managers, they have full access to the dashboard of the line manager and can see and manage their action plan.
Users can only access the action plans of other dashboards if they can search and select the segment in their context switcher, and if the segment displays the
View as this segment
option when they open it in the heat map.Action Plan Visibility
When a manager creates an action plan, it's visible on:
- Shared dashboards, if the manager set the action as shared and generated a shareable link.
- Employee personal dashboards, if the manager set the action as shared and your organization has enabled personal dashboard access for employees.
- Their dashboard, when directly viewed by other managers with full access.
- TheMy team actionstab in theAction Planpages of their leaders, if the action is on the manager's mainMy Teamsegment.
Although managers can choose whether to share their action plan with employees, it's not possible to completely hide action plans so that they're not visible to senior leadership if they have the appropriate permissions.
Notifications
Peakon sends managers upcoming action plan reminders every Monday, if they have actions that are due that week. The reminder email covers all actions that display on the segments that the manager directly manages, whether through reporting lines or through segment managing access.
Managers can unsubscribe to this email notification, however it's not possible for administrators to unsubscribe on their behalf. See Manage Notification Subscriptions for steps.
Reporting
The
Usage Metrics
report displays the number of actions each manager has created and completed. From there it's also possible to export all actions, including the segments they created them on. See Concept: Usage Metrics and Export Action Plans for more information.Recommendations
- Communicate action plans with your teams so they know their feedback has an impact, and keep your action plans up to date.
- Use recommended Peakon actions.
- Encourage your employees to provide confidential suggestions by setting focus areas. See Set a Focus Area for Your Team and Concept: Team Suggestions on Focus Areas.
Limitations
- It's not possible to transfer actions from one leader or segment to another.
- It's not possible to cascade actions to your hierarchy.
- It's not possible to create an action without linking it to a question set.
- When you delete a segment, the actions that belong to that segment also disappear.
- When you delete a manager, any actions they've created also disappear.
