Example: Set Up a HiredScore Welcome Message Template

These instructions are for customers who are implementing the Unified Experience version of HMTAC. For the legacy experience, see Example: Set Up a HiredScore Welcome Message Template.
This example illustrates:
  • How to configure the template for the Welcome message that is triggered by the Hiring Manager Talent Advisor Collaborator (also known as HMTAC or the HM-TA Collaborator) in Microsoft Teams.
  • The impact of this configuration in MS Teams.
Your organization uses the HMTAC functionality to facilitate team communication about specific requisitions. It triggers the sending of (sometimes automated) messages in MS Teams at various stages throughout the process.
You want to customize the Welcome message template, which is a direct message that the hiring manager automatically receives after a shared channel is created for a specific requisition. You want the message to:
  • Welcome the hiring manager to the shared channel.
  • Tag the hiring manager and the recruiter that handles the requisition.
  • Briefly explain the HMTAC experience.
  • Describe the expectations for their role in the hiring process.
  • List relevant tools and resources (including links to the Workday Job requisition candidate grid and Manager Insights Hub) to support effective collaboration.
After configuration is complete, the message should display as follows in MS Teams:
Your implementer must complete the steps to configure and authenticate the HiredScore MS Teams integration.
Changes submitted on this tab impact your HMTAC configuration in MS Teams, and existing configurations (including custom rules or filters) are overridden. Changes can take up to 30 minutes to display in MS Teams. In some cases, this may take longer.
  1. Access the
    HiredScore Tenant Setup
    task in Workday.
  2. On the
    HM <> TA Collaborator
    tab, select the
    Welcome Message Template
    sub-tab
  3. Click
    Edit
    .
  4. Select the
    Enable in HM-TA Collaborator
check box to ensure that any changes you make on this task are effective in MS Teams after submitting them in Workday.
  5. Enter and select these values:
    Field
    Value
    Message Title
    Welcome!
    Mentioning
    Manager
    Recruiter
  6. Customize the template’s
    Message Body
    .
    1. Copy the default text in the
      Message Body
      field.
This field is automatically populated with a default message in JSON format.
    2. Access the Microsoft Adaptive Cards Designer at https://adaptivecards.microsoft.com/designer.
    3. In the Adaptive Cards Designer, replace any existing content in the
      Card Payload Editor
with the JSON text that you copied in step a.
The card preview updates in real time to display how the message card is currently configured.
    4. In the
      Card Payload Editor
, customize the message and text according to your preferences. You can add any of the available parameters (placeholders for dynamic links or content) listed in the
      Available Params
section on the template editing page of
      HiredScore Tenant Setup
task by copying and pasting the exact parameter as it appears.
The parameter listed in the default body for the Workday candidate list is a standard link that directs the hiring manager to the candidate list in the specific job requisition in Workday. The Manager Insights Hub is a standard link that directs the hiring manager to Workday’s main dashboard for managers.
If you want to direct the hiring manager to a specific link, you can add or replace the standard link with a custom link, which you can set up from the
      Custom Links
      section on the
      HiredScore Tenant Setup
      task. Example: A
      ${shared_channel_welcome_1}
parameter that links to a Help Center article about the hiring manager’s responsibilities (see step g).
The resulting JSON text in the
      Card Payload Editor
      is:
      { "type": "AdaptiveCard", "$schema": "http://adaptivecards.io/schemas/adaptive-card.json", "version": "1.5", "body": [ { "type": "TextBlock", "wrap": true, "text": "Your role in our hiring journey is crucial, and we're excited to collaborate with you. For a quick guide on your responsibilities and the hiring process, check out the [Help Guide](${custom_to_help_guide})." }, { "type": "TextBlock", "wrap": true, "text": "Our shared channel offers you the ability to communicate with the hiring team, receive requisition-related notifications through **Posts**, and evaluate and manage candidates with ease in the **Candidate Grid** or **Manager Insights Hub**." } ] }
      The
      version
JSON key is for internal reference purposes only and doesn’t impact JSON behaviour.
    5. Click
      Copy Card Payload
      and return to the
      HiredScore Tenant Setup
      task in Workday.
    6. Paste the copied JSON text into the
      Message Body
field to replace the existing content.
    7. If you want to direct the hiring manager to a custom link, first set up the link as a dynamic parameter. For the
      ${shared_channel_welcome_1}
      parameter in the
      Custom Links
section, enter the URL of a specific article or website in the corresponding Links field. This can be any link to support resources that your organization hosts.
Verify that the JSON syntax is correct to avoid JSON errors.
  7. Click
    OK
    .
  8. Click
    Done
    .
  9. (Optional) You can add translations for supported languages by selecting
    Add Translation
    in the
    Translations
    section.
    1. Select the language you want to add and provide the translated text for both the
      Message Title
      and
      Message Body
      fields.
    2. Verify that any dynamic parameters in the original message are maintained in all translations.
    3. After you add translations, verify that the message renders correctly in the Adaptive Cards Designer and that all parameters and links are correct.
When the HMTAC feature creates a dedicated MS Teams channel for a requisition, the hiring manager automatically receives this message:
Any users selected in the
Mentioning
field receive an MS Teams notification.
