Concept: Workflow Visibility and Permissions

You can manage Workflow access and permissions at several levels to ensure users only have access to the information and functions they need.

Ticket Viewing and Creation

Submitter Access
Submitter Access controls the permissions a ticket submitter has throughout the workflow phases. You can configure these settings on the
Settings
tab of the workflow.
You can grant either
Full Access
or
Limited Access
. When you select Limited Access, you can specify the actions that submitters can perform on the
Edit
,
Review
,
Sign
, and
Finalize
phases.
Submitters must have View access on a stage to have additional permissions on that stage. Example: To enable submitters to edit form information on the
Review
stage, you must also enable View access on the
Review
stage.
General Access
Indicates which users can have access to see the tickets that have been submitted via this workflow. The options are:
  • Only
  • All users except
  • All users
You can override limited access settings with this option. We don’t apply limited access settings when all users can view submitted tickets. We limit submitter access settings when you select only specific users.

Intake Form Link

Workday generates a direct link to the intake form after you complete and save the workflow. You can copy this link on the
Settings
tab and share it with users for direct form access. See Reference: Workflow Intake Form Links

Workflow Access Controls

Workflow Access Controls enable you to determine which workflows are available to which users or departments when generating a new ticket or using Workflow Builder. This helps ensure users only see the workflows they need to access.
You can set these controls by managing the
Share
settings of a workflow template. The options for sharing are:
  • Your own view (private)
  • Specific departments or users
  • Anyone at a specified workspace
