Concept: Student Matriculation

Matriculation is the process of moving students from the
Applicant
or
Pre-Matriculant
stages to the
Student
stage. By default, Workday creates an academic record for the student every time they matriculate into a program of study. You can configure Workday to append incoming programs to an existing academic record by setting up append policies.
Students can have multiple academic records. Workday associates each academic record with 1 or more programs of study that support a distinct educational objective.

Matriculation Process

During matriculation, Workday completes actions in these functional areas:

Student Records
Workday:
  • Creates the academic record for:
    • The first application of a student.
    • Subsequent applications when you don't configure an academic record append policy.
  • Appends programs to an existing academic record based on the academic record append policies you configure.
  • Sets the academic record as the reporting record if the student doesn't already have one in the institution.
  • Copies details from the application to the academic record, such as:
    • Academic unit and level.
    • Program of study.
    • Declare date.
    • Anticipated start date.
    • Anticipated load status.
    • Location.
  • Creates program of study assignments:
    • Sets the
      Expected Completion
      based on the program of study.
    • Sets the initial program of study status as
      Matriculated
      as of the record creation date.
    • Sets the program of study status as
      In Progress
      as of the
      Declare Date
      .
  • Calculates class standing based on the class standing policy.
  • Initiates student onboarding.
  • Assigns registration appointments.
Student Data
Workday:
  • Creates privacy preferences for the student.
  • Creates a Student ID if there isn't one already.
Financial Aid
Workday creates the financial aid record with financial aid period data from the application.
