Steps: Override Academic Period Record for Registration

Complete setup for academic period record overrides. See Steps: Set Up Academic Period Record Overrides.
Security: Configure the
Academic Period Record Override Event
business process and security policy in the Student Records functional area.
Use the
Override Academic Period Record for Registration
task to manually change which academic period record a student course registration is tied to. This task initiates the
Academic Period Record Override Event
business process.

  1. Access the
    Override Academic Period Record for Registration
    task.
  2. In the
    Student
    prompt, select the student whose registration you want to override.
  3. If the student has multiple academic records and you have access to more than one, select the Student's Academic Record. Otherwise, Workday defaults the academic record automatically.
  4. Click
    OK
    .
  5. On the initiating page, complete these fields:

    Description
    Student
    The student you selected. You can't edit this field.
    Student's Academic Record
    The academic record that contains the registration. You can't edit this field.
    Registration to Reassign
    Select the student course registration to move. Only registered, completed, or withdrawn registrations are eligible.
    Current Academic Period
    The academic period for the academic period record that currently contains the registration. Workday derives this value when you select a registration. You can't edit this field.
    New Academic Period
    Select the academic period that the registration should be tied to after the override. Workday restricts your selections to academic periods striped by the same institution as the academic record, with an end date on or after the academic record start date and on or before the student's expected completion date.
    Comment
    (Optional) Enter comments for the business process event.
  6. Click
    Submit
    .
    Workday creates an Academic Period Record Override Event and routes it through your configured business process for review and approval.
  7. Launch Academic Progress for the Student. See Evaluate Academic Progress.
When the event completes successfully:
  • Workday moves the registration to the target academic period record.
  • Academic statistics for the original and target period records are recalculated.
  • The registration start date remains unchanged.
  • If the original academic period record has no remaining registrations, Workday deletes that period record.
You can track the event using the
Find Events
report or from the student's academic record.
If you're an approver and the initiator needs to correct the request, you can send back an override request:
  • Open the in-progress Academic Period Record Override Event.
  • Select
    Send Back
    .
  • Return the event to the initiator with your comments.
The initiator can update the registration or academic period selection and resubmit the request. Warnings display again on the send back task when applicable.
