Set Up Charge Item Assignments

You can use charge item assignments to assess common sets of charges to eligible students based on the:
  • Academic unit.
  • Program of study.
Example: Assess mandatory fees to all students at Alma Mater University.
Subordinate academic units inherit charge item assignments from superior academic units. You can configure additional charge item assignments for subordinate academic units, but you can't override the inherited assignments.
Charge items assigned using the
Maintain Student Charge Item Assignments
task don't adhere to Charge Adjustment Schedules.
  1. Access the
    Maintain Student Charge Item Assignments
    task.
  2. As you complete the task, consider:
    Option Description
    Academic Unit
    Academic Level
    Charge items apply to students at this academic unit and academic level. These charge items also apply to subordinate units with the same academic level.
    Program of Study
    Program Focus
    Charge items associated with a program of study and program focus also apply to charge items inherited from the academic unit and level.
  3. As you assign student charge items, consider:
    Option Description
    If
    (Optional) To restrict charges to students meeting certain conditions, select or create a calculation that evaluates their eligibility.
    Example: If the 19 Meal Plan charge applies only to on-campus students, create a calculation that determines if a student lives on campus.
    Student Charge Item
    Select a charge item to assign to students who meet the eligibility criteria, if any.
    Avoid using a charge item that you're also using elsewhere, such as in a registration-based fee or a course fee.
    When course sections have:
    • Course fees, Workday excludes their units from calculations for registration-based fee and charge item assignments.
    • Additional fees, such as for materials, without a course fee, Workday includes their units in calculations for registration-based fees and charge item assignments.
The
Assign Student Charges
job assesses charges nightly while charge assessment schedules are in effect. When students become eligible for charge items, the job assesses any unassessed charge items in the next run.

View Student Charge Item Assignments
report to review the configuration.
