Steps: Set Up Consent for Electronic 1098-T Forms

You can enable students to consent to receive only electronic copies of their 1098-T federal tax forms on a lifetime or calendar year basis. Students who opt out of printing 1098-T forms can still access electronic copies and print paper copies on demand. Workday files 1098-T forms for students electronically with the Internal Revenue Service (IRS) regardless of their paper copy preference.
  1. Edit Business Processes.
    Add the
    Consent to Receive Form 1098-T Electronically
    action step to these business processes:
    • Student Onboarding Event
    • Continuing Student Registration Onboarding Event
  2. Select
    Business Process
    Maintain Help Text
    from the related actions menu of these business processes:
    • Student Onboarding Event
    • Continuing Student Registration Onboarding Event
    To help students understand what their consent means, configure help text for the
    Consent to Receive Form 1098-T Electronically
    action step.
    Security:

    domain in the System functional area.
  3. Select a consent policy duration for a specific calendar year.
    Security:
    Manage: 1098-T Processing
    domain in the Student Financials functional area.
When you run the
Student Onboarding Event
or
Continuing Student Registration Onboarding Event
business processes, Workday sends a message to the student's My Tasks requesting electronic 1098-T consent for the calendar year or their lifetime.
When you mass-print 1098-T forms, Workday doesn't include students who consented to removal from mass printing.
