Review Student Residency

Review Student Residency

  • Set up student residency.
  • Ensure that students have completed their questionnaires and they're ready for review.
You review relevant information along with a questionnaire that the student submitted when determining the student's residency status. In addition to any documents you ask for on the questionnaire, Workday enables you to view this information about a student when making this determination:
  • Citizenship and visa status.
  • Educational institutions and transcripts.
  • Friends and Family information.
  • Licenses and government IDs.
  • Military information.
  • Primary home address.
You can view the student’s residency status using the
View Residency Status
report.
  1. Access the
    Students Awaiting Residency Review
    report to identify students that have submitted their questionnaire and are ready for their residency determination.
    Review the residency information for prospects by selecting
    Student Application
    View Residency Status
    from the related actions menu of the application.
    Security:
    Manage: Student Residency
    domain in the Student Core functional area.
  2. View the student's residency information, using one of these options:
    • Select
      Residency
      View Residency Status
      task from the related actions menu of any student.
    • Select the
      Student Residency Event
      link and then click
      Review
      .
    As you complete the task, consider:
    Option Description
    Resident Detail
    This field displays only if the student is a resident.
    You can use Workday's
    Hide or Require
    framework to hide this field if your institution doesn't require it.
    Residency Reason
    The residency reason displays with the applicable residency status:
    Resident
    or
    Nonresident
    .
    Effective Date
    This date determines when the student's residency status will become effective.
    A student's residency status needs to be effective by (at the latest) the first day of an academic period. Otherwise that residency status to apply for tuition or financial aid doesn't apply.
    Workday doesn’t store the effective date for applicants.
    Declaration Date
    Used by some states to record the date that a student declared residency. Workday doesn't use this field to process residency.
  3. Review the documents and information, including the student's response to the residency questionnaire.
You can set the residency status if it's not filled in, or verify the student's residency status. The status determines whether the student can be eligible for discounted tuition or increased financial aid.
  • Access the
    Request Residency Information
    task to request additional information from students manually using a questionnaire. The student can complete the questionnaire in Workday or the external student site, depending on how you configured the information.
  • Run the
    Students Awaiting Residency Review
    report.
  • You can change a student's residency and initiate the business process from the
    Change Student Residency
    task. Students can initiate a change from the
    Change My Residency
    task if they have permissions.
  • You can also set any applicant or student's residency status and upload additional supporting documents from the
    Update Student Residency
    task. The
    Update Student Residency
    task is the initiating action for the
    Student Residency Event
    business process. Using this task, you can run the business process without requesting a residency review.
  • Use the
    Student Residency Event
    data source to run reports on all student residency events. Instead of viewing only the events that have completed questionnaires and need review, you can view all residency events.
