Update Student Residency

Configure the
Student Residency Event
business process and security policy in the Student Core functional area.
You can update a student's residency without requesting any information from the student or reviewing their residency documentation. The
Update Student Residency
task serves as an initiating action on the
Student Residency Event
business process. Using the task, you can configure the business process without requesting a residency review. Workday initiates the business process each time you run the update task.
Administrators can update residency information without student interaction. You can set up the business process not to require approvals for the
Update Student Residency
initiating action when running the business process.
Using the task, you can also view and upload supporting residency documentation.
  1. Access the
    Update Student Residency
    task.
    As you complete the task, consider:
    Option Description
    Residency Status
    The student can have only 1 residency status at given time. The residency status has an effective date.
    If the student has only 1 residency status in Workday, it's effective from that date. A student can have another residency status that will be effective in the future.
    If you select
    Undetermined
    , this student won't display on the
    Students Awaiting Residency Review
    report.
    Effective Date
    Select an effective date.
    If you select an
    Academic Period
    , Workday sets the effective date to the
    Standard Start Date
    of the academic period. Workday displays all the selectable academic periods from the student's financial aid period records.
    If you update the effective date, make sure that there isn’t a change on the same record effective in the future. If you update the residency status with another effective date, then the future-dated change isn’t effective.
    Student Document Type
    Workday only displays document types with a
    Category
    of
    Residency Determination
    .
    Document
    You can upload these file types:
    • DOC, DOCX, HTML, PDF, TXT, PNG, JPEG, and JPG.
    Workday automatically sets an effective-dated residency status for the student. You can attach documents that the student uploads directly through this task.
  2. Review IDs, documents, and other information for applicants.
    The
    Documents
    tab lists materials associated with the
    Residency Determination
    category.
  3. Record the residency status for an applicant.
  4. Access the
    Configure Profile Group
    task to display the
    Residency
    report on the Personal for Student and Personal for Student Prospect profile groups.
Access the
Residency History
tab on these tasks and report:
  • Change Residency Status
  • Update Student Residency
  • View Residency Status
The tab displays a snapshot of the student's residency changes, sorted by the most recent effective date. Workday overwrites the effective date and displays the residency event that initiated the change.
The tab
Residency History
doesn't display if the student doesn't have a residency snapshot.
Create custom reports and condition rules using the
Initiating Action
report field (on the
Student Residency Event
business process). In order to review and troubleshoot residency, the report field enables you to view the initiating action for each residency event.
