Steps: Configure Deceased Students

You can configure how to process a deceased student in Workday.
  1. Configure the
    Deceased Student Event
    business process and security policy in the Student Core functional area.
    Configure approvers.
    In the
    Attachment Setting in BP Toolbar
    section:
    • Select
      Enable Attachments
      .
    • Select which security groups have permission to view and edit attachments.
    Security:
    Set Up: Tenant Setup - BP and Notifications
    domain in the System functional area.
  2. Activate Pending Security Policy Changes.
  3. Select
    Business Process
    Edit Definition
    on the
    Deceased Student Event
    business process.
    See Edit Business Processes.
    (Optional) Add an approval step to the
    Deceased Student Event
    business process.
    If you don't configure an approval step, processing a deceased student completes automatically when you select a student as
    Deceased
    in Workday.
    Configure these services from the
    Allowed Services
    tab.
    Option Description
    Apply Student Hold
    Applies a hold on the student account.
    Click
    Configure Apply Student Hold
    to configure the event service, or the task won't complete.
    Workday hides this button when you apply a transcript hold to an active student or historical academic record. You can't apply a transcript hold when you set up the
    Apply Student Hold Event
    for the
    Deceased Student Event
    business process, enabling you to surface historical academic data for deceased students.
    Set Student to Private Service
    Appends
    Private
    to the student profile. Prevents including the student in the student directory for the institution.
    Discontinue Academic Records for Student
    Sets the primary program of study to
    Discontinued
    . Sets the academic records for the student to
    Inactive
    .
    Access the
    Drop Student From Course
    task before this step. The student must not have active course enrollments or active academic records for this task to run.
    Click
    Configure Discontinue Academic Records for Student
    to configure the event service, or the task won't complete.
    Withdraw Student Applications
    Inactivates recruitment records that have active applications.
    Click
    Configure Withdraw Student Applications
    to configure the event service, or the task won't complete.
    Write Off Student Charges
    Waives any past due charges for the student.
    Click
    Configure Write Off Student Charges
    to configure the event service, or the task won't complete.
    Disable Workday Account
    Disables a student account in Workday.
    Workday prevents a student marked as
    Deceased
    from receiving email communications.
    Make this step the last one in the definition.
  4. Edit Domain Security Policies.
    Edit security policies for the
    Person Data: Date of Death
    domain in the Personal Data functional area to view date of death information.
  5. Activate Pending Security Policy Changes.
Select a student as
Deceased
on the
Designate Student As Deceased
task. The business process that you configured initiates when you click
Submit
.
Workday:
  • Routes the deceased student event for approval, if configured.
  • Appends
    Deceased
    to the student name.
  • Appends
    Private
    to the student name.
  • Drops all charges that the student has.
  • Updates the audience estimation for printed items and removes the student from the General Printed Items list that displays in the My Tasks of the mail coordinator.
  • Reports the student as deceased in the National Student Clearinghouse (NSC) enrollment report, if enrolled and deceased in the reporting academic period.
  • Disables the Workday Account for the student, which includes stopping all email communications to the student.
