Manage Contact Information Errors for Student Applications

  • Configure the
    Re-submit Failed Records Without Invalid Addresses and/or Phone Numbers
    attribute on the Common Application inbound integration to True.
  • Security:
    Manage: Student Contact Information Errors
    domain in the Student Core functional area.
Student prospects sometimes submit applications with contact information errors, such as a phone number with an invalid format. You can resolve contact information errors for the applications that the Common Application inbound integration imports.
This topic describes how to use the
Manage Incorrect Contact Information for Students
report to resolve the errors. You can't use the report to update contact information for applicants who:
  • Also have a worker record.
  • You previously merged with another record using Duplicate Management or Student Match and Merge.
  • You previously updated contact information for.
To update contact information for those applicants, access the
Contact
report on the Contact profile group of their student prospect profile, student profile, or worker profile.
  1. Access the
    Manage Incorrect Contact Information for Students
    report.
  2. To filter the results, select a date range and, optionally, additional filters.
    The report displays up to 500 results. If there are more than 500 results, adjust these filters to capture fewer results or create a custom report.
  3. Click
    Update
    for an error.
    As you complete the task, consider:
    Option Description
    Ignore Error
    Filter out the error from the report when you select the
    Exclude Ignored Contact Errors
    check box on the previous page of the report. You can select this option when you want to resolve the error later.
    When the error is associated with an application requirement and is:
    • The only associated error, ignoring the error waives the requirement.
    • One of multiple associated errors, the requirement status remains unchanged unless you also ignore the other associated errors.
    When you unignore an error that is associated with a completed or waived application requirement, Workday:
    • Sets the requirement status to Returned.
    • Initiates a new
      Student Application Action Item Assignment Event
      business process event for the requirement.
    Resolve error without updating contact information
    Remove the error from the report results. You can update the contact information later on the student prospect profile, but Workday no longer considers it an error.
    When the error is associated with an application requirement and is:
    • The only associated error, resolving the error completes the requirement.
    • One of multiple associated errors, resolving any of the errors completes the requirement.
    Update contact information
    Click
    Add
    to replace the incorrect information and resolve the error.
    When the error is associated with an application requirement and is:
    • The only associated error, resolving the error completes the requirement.
    • One of multiple associated errors, resolving any of the errors completes the requirement.
When you update contact information, Workday adds the new contact information to student applications and student prospect profiles.
To view the original contact information error, select
Student Application
View Application Entry State
from the related actions menu of the application.
