Setup Considerations: Preliminary Transfer Credit

What It Is

Preliminary transfer credit provides information about the potential credit that a prospective student can receive at your institution from their previous educational history. In Workday, you can assign and evaluate preliminary transfer credit for prospects from their official or unofficial:
  • External transcripts.
  • Education test results.

You can also initiate automatic evaluations of a prospect's external transcript or education test result for preliminary transfer credit. These evaluations use the same configuration that you set up for transfer credit evaluations for matriculated students.
In this configuration, you can define how coursework from external educational institutions converts to credit at your institution using:
  • Transfer grade mapping policies.
  • Unit type conversion policies.
You can also set up transfer credit rules for your tenant by:
  • Institution.

Where do you want to share preliminary transfer credit with prospects?
You can:
  • Share preliminary transfer credit information in admissions engagement items using report fields on the Student Prospect Record business object.
  • Use the delivered web services to share preliminary transfer credit information on your external site.
For applicants, you can configure applicant home pages to display the preliminary transfer credit report on the external student site.
How do you assign transfer credit when a student matriculates?
Preliminary transfer credit doesn't convert to transfer credit when a student matriculates. To grant student transfer credit at matriculation, you can:
  • Add this evaluation as a step on the
    Student Onboarding Event
    business process. See Steps: Set Up Transfer Credit Evaluation.
  • Initiate an official transfer credit evaluation of the student's final transcripts and test results.

Recommendations

Configure the applicant home page to display the preliminary transfer credit report. Applicants can then view their potential earned credit on the external student site.
Create a custom report work area to identify prospects who:
  • Have external transcripts and education test results.
  • Don't have preliminary transfer credit assigned to those transcripts and test results.
You can then evaluate these transcripts and test results to ensure that the prospect's preliminary transfer credit is accurate. Example: When a prospect uploads a newer transcript after an initial preliminary transfer credit evaluation.

Requirements

Configure the security domains so the appropriate users can configure and view preliminary transfer credit for your institution.
To enable admitted applicants to see their preliminary transfer credit, you must:
  • Set up an external student site and applicant home page.
  • Assign or evaluate preliminary transfer credit.

Limitations

You can assign and evaluate preliminary transfer credit for:
  • An individual student prospect before they matriculate.
  • Only 1 external transcript or education test result at a time.
You can't:
  • Initiate preliminary transfer credit evaluations for a group of student prospects.
  • Configure preliminary transfer credit evaluation as a step in a business process.
Users with view permission can access preliminary transfer credit only on desktop.
Only applicants with a published decision of Admit can see the preliminary transfer credit report when you configure the applicant home page.
Preliminary transfer credit doesn't convert to transfer credit when a student matriculates. At matriculation, you can grant transfer credit from an official transfer credit evaluation of the student's final transcripts and test results.
