Assign Ad Hoc Application Action Items

Assign Ad Hoc Application Action Items

You can manually assign ad hoc action items that you:
  • Don't want to assign automatically.
  • Want to assign in addition to automatically assigned requirements.
  • Want to assign to the application after a preliminary review.
  1. Access either of these tasks:
    • Assign Application Action Item
: Assign action items to individual student applications.
    • Mass Assign Application Action Item
: Assign action items to multiple student applications at the same time.
      To access this task, click
      Assign Action Item
      on the
      Find Student Applications
      report or the
      Find Student Prospects
      report.
  2. As you complete the task, consider:
    Option Description
    Action Item
Select the action item to assign.
    Action items with a
    Public Action Type
    of
    Update Contact Information
    aren't available for manual assignments.
    Associations
Select the context of the action item. Workday creates an action item for every instance of the association.
Example: A student has 2 applications to different programs at your institution and has attended 4 educational institutions. When you assign a transcript action item and select:
    • Educational Institution
, Workday generates 4 action items (1 for each educational institution). Only a transcript for the specific institution can satisfy the action item for that institution.
    • Application
, Workday generates 2 action items (1 for each application). A transcript from any of their educational institutions can satisfy the action item for an application.
The classification of the action item determines which associations you can select.
    Applies To
    Applies to the
    Assign Application Action Item
task. Select the application the action item applies to.
    Process Delay
Applies to the selective admissions process. Select a process to halt until the requirement is complete or waived.
    Example: Select
    Decision
if the requirement must be met before you can publish an admissions decision.
Workday assigns the action item immediately. The requirement displays on:
  • Applicant Home. Ad hoc application action items display before the requirements that Workday assigned automatically.
  • The
    Requirements
report on the Application profile group of the prospect profile.
  • The
    Action Items
report on the Action Items and Holds profile group of the prospect profile.
If the prospect already has an application action item with the same association, Workday doesn't assign the action item again.
