Set Up Application Requirements

You can specify the requirements that applications for admission must meet to be considered complete for:
  • An admitting level of an academic unit.
  • A program of study, program focus, or program area.
Example: All applicants to Alma Mater University must submit an official transcript. Applicants to the Music Major have an additional requirement to perform an audition.
  1. Access the
    Maintain Student Application Requirements
    task.
  2. As you complete the task, consider:
    Option Description
    Effective Date
    Workday can automatically assign the requirement to new applications that have an anticipated start date on or after the
    Effective Date
    you enter here. It assigns the requirement to existing applications when you edit them.
    Academic Unit / Academic Level
    Requirements apply to applications to this academic unit and academic level and to the same academic level of subordinate units.
    Program of Study / Program Focus / Program Area
    Requirements you associate with the program of study, program focus, or program area apply in addition to any requirements inherited from the academic unit and level.
  3. As you add requirements, consider:
    Option Description
    If
    If the requirement:
    • Always applies, leave the field empty.
    • Applies to applications that meet specific eligibility criteria, select or create an eligibility rule from the prompt.
    Application Action Item
    Select the application action item that represents the requirement.
    Association
    Select the context of the requirement. Workday creates a requirement for every instance of the association.
    Example: A student has 2 applications to different programs at your institution and has attended 4 educational institutions. When you assign a transcript requirement and select:
    • Educational Institution
      , Workday generates 4 requirements (1 for each educational institution). Only a transcript for the specific institution can satisfy the requirement for that institution.
    • Application
      , Workday generates 2 requirements (1 for each application). A transcript from any of their educational institutions can satisfy the requirement for an application.
    The classification of the action item determines which associations that you can select.
    Re-evaluation Point
    Applies to the selective admissions process. Select a point in time at which to assign the action item. To assign the action item only when you create an application, leave the field empty.
    Process Delay
    Applies to the selective admissions process. Select a process to halt until the requirement is complete or waived.
    Example: Select
    Decision
    if the applicants must complete the requirement before you can publish an admissions decision.
Workday assigns the requirements to eligible applications when:
  • You create applications, or at the re-evaluation point, if applicable. Applicable to action items with
    Public Action Types
    that aren't
    Update Contact Information
    .
  • You import applications with contact information errors. Applicable to action items with a
    Public Action Type
    of
    Update Contact Information
    .
The requirements display on:
  • Applicant Home.
  • The
    Requirements
    report on the Application profile group of the prospect profile.
  • The
    Action Items
    report on the Action Items and Holds profile group of the prospect profile.
The student prospect must have an email address or address to be assigned application requirements.
