Concept: Application Action Items

Application action items are items that applicants for admission must complete as part of their application. Examples: Paying an application fee or submitting a transcript. Applicants can view their assigned action items on the external student site.

Assigning Action Items

You can assign application action items:
  • Automatically through application requirements for academic units and levels, and programs of study. When you create an application, Workday assigns the requirements for the relevant program of study, including any action items inherited from superior academic units.
    Eligibility rules can further refine which action items apply to an application. Example: Alma Mater University requires undergraduate applicants to pay a fee if their primary home address is out of state.
    Before assigning requirements, determine which apply to all applications for an academic unit and level and which apply only to subordinate units or their programs of study.
  • Automatically as a step on the
    Student Application Pre-Matriculation Event
    or
    Student Onboarding
    business process.
  • Manually to a specific application using the
    Assign Application Action Item
    task.

Reevaluating Action Items

When you update an application that has a decision status of
No Decision Rendered
, Workday automatically waives any incomplete action items that no longer apply and assigns any action items that now apply. Completed action items stay assigned to the application.

Returning Action Items

You can return unsatisfactory action items to students. Example: The student uploaded a resume instead of a personal statement. This sets the business process to
In Progress
and sends the action item back to the applicant to complete. You can return action items from the related action menu of any action item when:
  • The Requirement Status is
    Incomplete
    .
  • Process delays are post-decision (even if Requirement Status is
    Incomplete
    ).
  • The requirement is currently either
    Completed
    or
    Waived
    .
  • The requirement can't be auto-completed.

Autocomplete Requirements

Workday provides autocomplete criteria, such as
Official Transcript Received
. If you map your action items to autocomplete criteria, Workday automatically detects when an action item is fulfilled and set its status to
Complete
.

Completing and Waiving Action Items

Workday enables you to complete and waive requirements by:
  • Automatically updating requirements to
    Complete
    status when they meet mapped autocomplete criteria.
  • Automatically waiving incomplete action items that no longer apply after you edit an application.
  • Manually completing or waiving action items from the
    Requirements
    report on the Application profile group on a student prospect profile.
  • Mass completing or waiving action items from the
    Find Student Applicants
    report. You can also mass waive action items from the
    Find Student Prospects
    report.
Applicants can also complete action items by uploading documents or providing links on the external student site.
