Create Financial Aid Communication Rule Sets

  • Create student emails that are in the
    Financial Aid
     category and used for:
    • Disbursements
    • Packages
    • Satisfactory Academic Progress
  • Security:
    Set Up: Financial Aid Rule Sets and Policies
     domain in the Financial Aid functional area.
Specify which messages you use to notify students when you disburse financial aid funds or when their satisfactory academic progress (SAP) status changes.
  1. Access the
    Create Financial Aid Communication Rule Set
     task.
  2. Add a row in the
    Send to Email - Priority
     grid for each email type to which to send financial aid communications and arrange them in priority order.
    If a student doesn't have the first email type, Workday sends emails to the next type. If a student doesn't have any of the defined email types, Workday doesn't send the student any emails defined in this rule set.
  3. As you complete the
    Disbursements
     tab, consider:
    Option Description
    Disbursed Federal Loan
    Select a message to send when Workday disburses a federal loan.
    Disbursed Payment
    Select a message to send when Workday disburses a payment that isn't a federal loan.
  4. As you complete the
    Satisfactory Academic Progress
     tab, consider:
    Option Description
    Satisfactory Academic Progress Now Passed
    Select a message to send when a student who was on a warning or failed SAP status is now passing. Workday also sends this message if the SAP status changes from
    Passed
    to
    Probation
    .
    Satisfactory Academic Progress Warning
    Select a message to send when a student is placed on a warning for SAP.
    Satisfactory Academic Progress Status Failed
    Select a message to send when a student fails an official SAP evaluation or a
    Maximum Timeframe
     evaluation. Workday also sends this message when you override a student's SAP status to
    Failed
    .

    Maximum Timeframe
     evaluation.
    Groups to Exclude
    Select the student groups to always exclude from receiving SAP communications. When you evaluate SAP, you can select additional student groups to exclude from receiving communications for that specific run.
    If the policy exclusion conflicts with an SAP evaluation inclusion, the policy exclusion takes precedence. Example: If the policy excludes international students, international students do not receive SAP communications even if you specifically include them in communications for an SAP evaluation.
    Programs of Study to Exclude
    If excluding programs of study, select the programs of study to exclude.
  5. As you complete the
    Financial Aid Packages
     tab, consider:
    Option Description
    Financial Aid Package Created
    Select a message to send when a student has a new financial aid package in Workday.
    Financial Aid Package Revised
    Select a message to send when a student's financial aid package is updated.
You can use the
View Financial Aid Communication Rule Set
 report to review the rule set.
Access the
Maintain Financial Aid Communication Policy
 task to assign the financial aid communication rule set to an academic unit and level.
