Concept: Viewing Financial Aid Packages

Workday provides these reports that you can use to view the details of a student's financial aid package:
  • Total Financial Assistance
  • Packaging Configuration Tool
Depending on your configuration, students can access and view their financial aid packages on the external student site.

Total Financial Assistance

You can access the
Total Financial Assistance
report on the Financial Aid profile group of a student's profile.
The
Total Financial Assistance
report enables you to:
  • Print financial aid offer letters and college financing plans.
  • Verify the results of the packaging process and confirm the information used. Example: The student's Student Aid Index (SAI), cost of attendance, and financial aid need.
  • View student awards for each academic period.
  • View financial aid award data by selecting
    Student Award
    View Data Used For Financial Aid Award
    from the related actions menu of a student award.
  • View a student's private scholarships, and sponsor contracts or waivers regardless of their impact on financial aid need.
You can also perform these actions within the report:
Edit/Simulate
Make manual adjustments to a student's financial aid package. Lock the award after making your changes if you don't want Workday to overwrite them when the packaging process runs.
You can create simulations of financial aid packages without saving the results. Simulating financial aid packages enables you to view what a student could receive if you run the packaging process for them in that moment. You can also simulate financial aid packages based on a past date and time to view what a student would have received under a previous packaging configuration.
On the
Edit Total Financial Assistance
task, Workday displays recommendations for the
Awards
prompt by default. Workday uses machine learning to determine these recommendations based on your most recently and frequently used selections. You can optionally disable these recommendations. See Concept: Form Completion Assistant.
Print Financial Aid Offer
Generate a PDF of the student's financial aid offer. Workday notifies you when the PDF is available to download.
Print College Financing Plan
Generate a PDF of the student's college financing plan. Workday notifies you when the PDF is available to download.
View Data Used
View the data used to calculate a student's financial aid package for academic periods in a financial aid award year. The report displays details such as:
  • The student's class standing at the time of packaging.
  • The load statuses used for packaging.
  • NSLDS aggregates.
View History
View a history of the student's previous financial aid packages for a financial aid award year. The report displays details such as:
  • When the packaging process ran for the student.
  • The academic periods included in each run.
  • The financial aid calculations used in the packaging run.
From this report, you can select
Compare Data Used
to compare 2 packaging runs and identify differences that might have caused the student's financial aid package to change. Example: A student didn't have an
Initial Pell Award Date
in the initial packaging run. They’re assigned one when they go through the packaging process a second time. Workday displays values that changed between the 2 runs on the
View Data Used Changes
tab of the report.
Configuration Tool
Access the
Packaging Configuration Tool
report.
Reaction Options
Resolve reactions or run processes for Cost of Attendance, Merit Packaging, or Need Packaging on the
Reaction Options
page that displays. After selecting at least one action and then selecting
OK
, a confirmation page details the reaction reasons and processes that'll run for all academic periods in the award year. After your confirmation, Workday will resolve reactions and/or run processes in this order:
  1. Cost of Attendance
  2. Merit Packaging
  3. Need Packaging
To avoid downstream impacts, ensure that you resolve any pending upstream reactions before running this task.
To manually review Cost of Attendance, Merit Packaging, or Need Packaging reactions, set the
Reaction Method
to
Review
on the packaging reaction policies.

Packaging Configuration Tool

For an academic period, the
Packaging Configuration Tool
report enables you to view the data that Workday uses to:
  • Evaluate a student for packaging.
  • Create a student's financial aid packages.
You can access the report through the
Financial Aid Configuration Tool
report.
You can use the
Packaging Configuration Tool
report to:
  • View the awards and amounts that a student could receive when packaged for at that point in time.
  • Determine if the packaging process will be successful for a student based on your current configuration.
  • Understand why the financial aid package might differ from what you expect.
  • Identify and resolve issues preventing packaging for a student. Example: You can view if the student has holds or reaction reasons that apply to them.
The
Packaging Configuration Tool
report doesn't:
  • Account for awards that aren't in the packaging strategy but might affect the student's need on the
    Ordered Packaging Strategy Lines
    grid.
  • Display sponsor contracts or waivers that might apply to a student.
  • Display locked awards that you manually add outside of a packaging strategy on the
    Ordered Packaging Strategy Lines
    grid.
  • Take into consideration the amount or eligibility interim calculations when calculating a student's
    Eligibility Calculation Result
    for an award.

External Student Site

Workday displays the
View My Financial Aid Packages
link on the external student site when:
  • Admission decisions are publicly available.
  • The
    Entering Student Award Display Start
    date control is on or before the day you want to display financial aid packages.
To display the link before admission decisions are public, opt in to the feature on the
Maintain Feature Opt-Ins
report.
