Concept: External Awards

External awards, such as state awards, departmental awards, and outside-agency scholarships, are assigned to students outside of Workday. To package students with these types of awards, you can import external award data for a student into Workday using the Import External Awards web service.

These factors might affect the amounts that students receive from your imported external awards:

The configuration of the student award item representing the external award.

Whether or not the award item representing the external award is on a packaging strategy.

Award Item Configuration

To import external awards, you must create an award item in Workday that represents the external award. Workday uses your most recent award item configuration to determine the award amount when you package the student. When you:

Configure calculations or award limits on the award item, Workday takes these into account during packaging.

Don't configure calculations or limits on the award item, Workday automatically uses the award amount you specify on the web service instead.

Packaging Strategy

When you include external awards on a packaging strategy, Workday uses the packaging strategy configuration to determine:

When to package the external award.

The award amount.

Workday considers the external award's placement in the order of the strategy, as well as the amounts the student is packaged with from other awards.

When you don’t include an external award on a packaging strategy, Workday packages the external award before any awards on the packaging strategy.

To view external awards on a student's financial aid package, access the

Total Financial Assistance

report on the student's profile. You can also:

Find External Awards

report to view the status of external awards.

The

External Award Awarded

column indicates that the packaging process evaluated the award, even if Workday didn't assign the award to the student.
