FAQ: Engaging with Student Prospects

How do I stop sending recruiting engagement items to a student prospect?
  1. Select
    Engagement
    Manage Engagement Preferences
    from the prospect's related actions menu.
  2. Select the
    Opt Out - Student Recruiting
    check box.
Prospects are opted out of mass recruiting communications, such as event invitations and engagement items used in engagement plans. You can still send ad hoc communications to prospects. Workday still sends registration confirmations, cancellation, and reschedule items for events the prospect was invited to or registered for.
How do I know which engagement items we sent to a prospect?
Review the History profile group on the prospect's profile.
Why aren't some prospects who meet the recipient criteria receiving engagement items?
It's possible the prospects don't have an email or mailing address in Workday. Check the prospect profile for a primary email or mailing address.
If a prospect has both a primary home email address and a primary work email address, which does Workday use?
The primary home email address. You can still specify the email priority for your items in engagement plans.
If I edit an engagement item, how can I view the earlier version sent to a prospect?
  1. Access the History profile group on the prospect's profile.
  2. Click the item to see a snapshot of what was sent.
How do I know which engagement plans use a particular engagement item?
  1. Access the
    Find Student Engagement Items
    report to find the item.
  2. Click the item in the
    Engagement Item
    column then drill down on the
    Usage
    number.
How do I suspend the use of an engagement plan or item?
From the related actions menu of the engagement plan or item, select
Engagement
Inactivate
. Workday appends
(Inactive)
after the plan or item name.
How do I update an engagement plan after it's approved?
You can edit plans for your assigned academic unit and academic units at a lower level. To change anything except the plan's academic unit or academic level:
  1. From the related actions menu of the engagement plan, select
    Engagement
    Edit
    .
  2. If the plan requires approval, Workday notifies the approver.
I created an engagement plan for the wrong academic unit and academic level. How do I fix this?
  • If the engagement plan is approved:
    1. Access the
      Process History
      tab on the engagement plan.
    2. From the
      Engagement Plan Event
      in the
      Process
      column, select a related action of
      Business Process
      Correct
      .
    3. Enter the correct information.
    4. Add a comment explaining the reason for the correction.
    Changing the academic unit can make emails that are secured to another academic unit unavailable to the plan. You might need to make other adjustments to the plan before you can submit the corrections.
  • If the engagement plan is in progress (awaiting approved), you can withdraw it and create a new one:
    1. Click the
      Process History
      tab on the engagement plan.
    2. From the
      Engagement Plan Event
      in the
      Process
      column, select a related action of
      Business Process
      Withdraw
      .
    3. Select the
      Confirm
      check box and click
      OK
      .
    4. Click
      Done
      .
      If you click
      Revise
      instead, you can update the plan, but still can't change the academic level or academic unit.
    5. Create the new plan.
What happens if I change the audience for an engagement plan or recruiting event after engagement items are sent?
When the scheduled engagement process runs, it sends items to any qualifying prospects who weren't eligible before.
  • Prospects who no longer qualify for recruiting events they had invitations for continue to receive engagement items for the event.
  • Prospects who received communications related to an engagement plan for which they no longer qualify, don't receive the subsequent items.
What happens if the user who configured my student audience changed roles or is no longer with the institution?
You change the run as user for your student audience using the
Edit Student Audience Run as User
task.
