Link Student Notes
- Create note categories and topics for your institution.

Linking student notes together in Workday enables you to reference previous student notes more easily and document related interactions with students and prospects.
You can only link notes together if they are on the same student's note history and share the same note topics.
- Access theStudent Note Historyreport.You can find the report on the History profile group of the student's profile.
- From the related actions preview window of the existing note, click theAdd Linked Notebutton.You can view each note on the student's note history by clicking on the magnifying glass icon.
- As you complete the task, consider:OptionDescriptionShare with StudentWhen selected, the student receives the note and is able to view it.Relates To, Academic Period, Financial Aid Award YearYou can configure which prompts display for each student note category on theMaintain Student Note Categories and Topicstask.Depending on your configurations, you can use theRelates Toprompt to select:
- An academic record.
- A student application.
- A student recruiting event.
- A student recruitment.
Example: When documenting concerns a student has about their financial aid, you can enable student notes under theFinancial Aidcategory to relate to financial aid award years in Workday.
You can view the new linked note in the
Note History
report in the History profile group of the selected student.You can also view all notes that you linked to a specific note by clicking on the number displayed in the
Linked To
column of the report.When you link a student note to a note that is already linked to a different note, all 3 notes link to each other.
A student contacts Justin White, a financial aid counselor, to notify him that their financial aid package is insufficient. Justin is about to go on leave and doesn’t have time to meet with the student to discuss their package. He adds a note to the note history of the student to keep a record of the complaint. He then schedules a meeting to discuss the circumstances of the student with a different financial aid counselor, Samantha Black. After meeting with the student, Samantha links a note to Justin’s previous note to report that she’s taken care of the student’s complaint.
To link the note you created to a different note that already exists, select from the related actions menu of either note.
